Senior Program Assistant

Job Summary
This role is responsible for providing administrative support to the Science Co-op program, including coordinating international student work permits, managing Co-op registrations, and creating digital promotional content.
Job Description
The Senior Program Assistant (Leave Replacement) will be responsible for the following tasks:
• Coordinates the Co-op Work Permit process for international students, ensuring they comply with Canadian immigration policies.
• Audits and restricts job access for students who do not follow immigration requirements.
• Coordinates 3000+ Co-op registrations annually, enrolling and withdrawing co-op students in co-op courses.
• Handles inquiries from students regarding co-op registration and financial reconciliation.
• Maintains a tracking system of end of term required documents and action items.
• Prepares customized data sets for various partner departments on campus.
• Enters placement data in the provincial and national Co-op databases.
• Initiates the co-op graduation process, including generating complex reports and managing student accounts.
• Creates marketing content to promote the Program to prospective students and employers on social media.
• Assists with production of the program's annual report by compiling and analyzing program data.

Requirements
The ideal candidate will have:
• High School graduation, plus two year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience.
• Training in office administration, communication, or computer studies is preferred.
• Ability to effectively handle a wide variety of tasks and establish priorities.
• Strong problem solving and analytical skills.
• Effective oral and written communication and interpersonal skills.
• Ability to work effectively both independently and within a team environment.
• Intermediate level Computer experience required MS Word, Excel, PowerPoint, Adobe Acrobat, on-line databases, e-mail.
