Job Summary

Senior administrative assistant sought to provide high-level support to Associate Deans and Director, Graduate Studies, in the Faculty of Arts at UBC.

Job Description

This senior administrative assistant position provides support to the Associate Dean Research, the Associate Dean Equity, and the Director, Graduate Studies. The role involves organizing administrative systems, completing tasks and special projects, and providing administrative support to the Associate Deans and the Director.

Key Responsibilities
  • Provides administrative support to the Associate Deans and the Director, including scheduling appointments, meetings, and travel arrangements.
  • Responds to inquiries and provides information on a variety of administrative details.
  • Coordinates various Faculty Research Awards and the Dean of Arts Mentorship Award.
  • Schedules and organizes meetings of award adjudication committees.
  • Coordinates meetings of Arts Equity Leads and supports the Associate Dean in scheduling and organizing meetings/events relevant to the portfolio.
  • Supports the development of strategies to increase funding to graduate students and for other special initiatives.
  • Liaises with departmental Graduate Advisors and coordinates meetings for advisors and the Director.
  • Coordinates and acts as a liaison with students for the Faculty of Arts Graduate Student Research Awards.
Requirements
  • High School graduation and two-year post-secondary diploma.
  • 4 years related experience or the equivalent combination of education and experience.
  • Ability to resolve problems, accept responsibility, and communicate effectively in both verbal and written form.
  • Ability to work effectively with people of diverse cultural backgrounds.
  • High level of skill with regard to PC use, including word processing, data base, and spreadsheet programs.
  • Ability to manage email and contribute to website management.
  • Ability to type 50-60 wpm and operate office equipment.
  • Ability to schedule and prioritize workload, exercise initiative, tact, and discretion, and maintain a positive attitude.
Working Conditions

The position interacts regularly with other Associate and Assistant Deans, Dean's Office staff, Faculty Service Units, Heads, Directors, and Chairs of Departments, Schools, Institutes, and Programs in the Faculty, and faculty, staff, and students from all areas and levels of the University.

Supervision

The position reports to the Executive Coordinator, Dean's Office. Tasking and direction will come from the Associate Dean Research, the Associate Dean Equity, and the Director, Graduate Studies.
