Valard has full-service capabilities for transmission, distribution, substations, foundations, telecommunications, and renewable energy.

The Senior Administrator will be responsible for providing a wide variety of administrative duties in support of the vice president to ensure efficient administrative operations within the Valard Vaughan office. This position will be based in Vaughan, ON.

Responsibilities

  • Plan and coordinate administrative procedures/systems and when applicable devise ways to streamline process.
  • Manage division office spaces and allocation of workspace.
  • Ensure the smooth and adequate flow of information within the division to facilitate other business operations.
  • Answer office phone lines from the public and clients regarding business operation in the province. Greeting guests and visitors.
  • Manage calendars, offices lists and deadlines.
  • Monitor inventory and handle ordering of office supplies, the purchasing of new office material with attention to budgetary constraints.
  • Shipping/Receiving.
  • Monitor division costs and expenses to assist in budget preparation, code invoices and approve payment.
  • Oversee facilities services, maintenance activities and tradespersons (e.g electricians, cleaners) in divisional offices.
  • Organize and supervise other office activities (event planning, managing parking, maintaining presentable office, etc.)
  • Prepare and process AR invoices in ERP system, work with Project managers in verifying back up for invoices before posting, send invoices to the responsible department or customer, Send Semi-monthly statement to customers, prepare report of posted invoices summary on monthly basis.
  • Ensure offices adhere to company policies and regulations.
  • Be the division's main administrative contact for the company.
  • Keep abreast with all organizational changes and business developments.
  • Assist the VP when required.

Requirements

EDUCATION AND EXPERIENCE:

  • High school diploma
  • Minimum of 5-7 years of administrative experience
  • Office Administrator certificate will be considered an asset
  • Successful candidate must be a self-starter and have the ability to function at a high level with minimum supervision
  • Proficient in using Microsoft Office Suite

  • Proven experience in administration
  • Experience with JDE considered an asset
  • Experience invoicing
  • Maintain high level of confidentiality
  • An analytical mind with problem-solving skills
  • Excellent organizational and multitasking abilities
  • A team player with leadership skills
  • Efficient verbal and written communication skills
  • Ability to lift up to 20 lbs
