Job Summary: As an Operations Coordinator, you will be responsible for handling day-to-day operational elements of our customers' needs, seeking out the best methods to move freight based on customer requirements. You will work independently to accomplish tasks, coordinate the flow of inbound and outbound freight, and meet customer requirements at every stage of the order fulfillment process.
Key Responsibilities:
- Analyze booking information from customers to determine and verify service requirements, routes, border crossing points, and rates.
- Work independently to accomplish tasks within the scope of the job.
- Coordinate the flow of inbound and outbound freight, staying abreast of daily priorities and weekly transportation targets.
- Meet and exceed customer requirements at every stage of the order fulfillment process, assuming responsibility for total customer satisfaction.
- Effectively and efficiently respond to internal and external clients' inquiries, resolving any conflicts or problems that may arise.
- Ensure all client correspondence is up to date, with appropriate electronic copies uploaded along with milestones.
- Work with internal and external clients to prepare and present quotes, maintaining quotes in the system.
- Contact carriers to confirm equipment, expectations, and load details.
- Dispatch shipments, communicating with carriers to monitor freight movement.
- Update transportation management systems and customer websites with real-time load locations.
- Identify problems proactively and develop creative and efficient solutions.
- Prioritize loads based on importance and delivery date.
- Communicate any modifications to the sales team to update clients.
- Build strong relationships with assigned carriers through communication and ongoing monitoring of on-time performance.
- Resolve issues with customers and Dedicated Shipment Coordinators as required.
- Complete performance reports for all carrier-related issues in a timely manner, notifying potential issues to the appropriate parties.
- Negotiate additional charges with carriers, assisting to maintain the accuracy of carrier information.
- Ensure tracking meets established standards, escalating for resolution as appropriate.
- Understand current industry market conditions, communicating any carrier issues that may impact operations.
- Working knowledge of transportation cargo claims, transportation laws, and risk management.
- Keep the Operations Team and Sales updated on significant issues or trends.
- Maintain the confidentiality of client information.
- Maintain the integrity of shared work files on network systems.
- Meet KPI standards as per company guidelines.
- Collect assistance as required.
- Perform other duties and assignments as required.
Quality, Health & Safety:
- Support organizational commitment to ISO 9001 and ISO 45001 certification.
- Perform assigned tasks to support DSV meets its objectives and targets regarding quality, health, safety, and environment, following all requirements as set out in the DSV Quality Health Safety Environment policy.
- Ensure day-to-day activities embrace sustainability, health, and safety, reducing the impact on the environment, supporting the communities we work in, and reducing incidents in the workplace.
Qualifications:
- Minimum 1 year in transportation/logistics/3PL.
- College Diploma/University Degree in Business, Logistics, or International Trade (preferable).
- CIFFA certificate (an asset).
- Dangerous Goods Certification (an asset).

- Good command of both verbal and written English skills.

Language and Computer Skills:
- Proficient in both English and French languages.

- Working knowledge of transportation management software (i.e., Load Link, PC Miler, etc.) (an asset).
