Aston Carter's client in the automotive industry is seeking an Accounting Assistant to join their team on a 6-month contract-to-hire basis, with the intent to take the candidate permanent. The Accounting Assistant will support the accounting department by performing clerical tasks, including processing and recording transactions, managing accounts payable, and assisting with various administrative duties.

Key Responsibilities:

This role involves a high focus on accounting tasks (90%), with additional responsibilities in credit card processing and receptionist duties, including answering phone calls and greeting office visitors. The position also includes miscellaneous errands, bank deposits, transaction postings, and ensuring accurate documentation for customs and shipments.

Duties will include:


• Answer incoming telephone calls


• Greet and welcome office visitors


• Mail distribution


• Miscellaneous errands for corporate head office or affiliated company guests


• Make bank deposits and posting transactions


• Accounts payable data entry and cheque issuance


• Ensure shipments are customs cleared


• Ensure accuracy for charges and GL coding for invoices involving customs clearance


• Reconcile GST amounts


• In transit reconciliation


• Review insurance invoices for accuracy and preparation of disbursement forms


• Price check vendor commercial invoices


• Request and reconcile vendor AP statements


• G/L reconciliation for insurance, freight, duty and brokerage accruals


• Maintain incoming shipment documents for non-inventory orders


• Arrange duty and brokerage for import shipments


• General documentation filing


• Provide ongoing assistance to accounting department


• Prepare monthly sales analysis


• Assist with general office presentation

Additional Skills & Qualifications:

Must Haves:


• 6 months to one year of experience – basic understanding of accounting, debit/credit, and accounts payable


• Accounting education


• Intermediate Excel knowledge (Testing Required)


• Strong communication skills

Nice to Have:


• ERP experience (SAP an asset)


• 3 way matching


• Freight forwarding (export/import) and Canada Customs clearance
