Office Manager Job Description Office Manager

The Office Manager plays a vital role in overseeing Human Resource and Office Management functions within all departments, reporting directly to the Executive Director. This position requires a high level of administrative expertise, strong communication skills, and a commitment to delivering exceptional customer service.

Key Responsibilities
  • Administer health and welfare plans, ensuring accurate record keeping and proper deductions
  • Process required documents through payroll and insurance providers
  • Provide expert guidance on healthcare and wellness plans to employees
  • Perform customer service functions, responding to employee requests and questions
  • Recommend new policies and procedures to enhance company efficiency and effectiveness
  • Conduct audits of payroll, benefits, and other HR programs
  • Assist with recruitment and interview process, including tracking candidate status and responding to follow-up letters
  • Schedule meetings and interviews as requested by the Executive Director
  • Perform various clerical functions, including photocopying, faxing, and filing
Requirements
  • Bachelor's degree in Human Resources, finance, business management, or business administration
  • 3-5 years of experience in finance, payroll, and not-for-profit society
  • Strong knowledge of current employment law matters and commitment to diversity management
  • Excellent presentation, written, and verbal skills
  • Ability to identify developmental needs of employees and provide coaching, mentoring, and support
  • Strong morals and ethics, with a commitment to staff privacy
  • Effective communication skills with individuals at all levels of the organization
  • Ability to work efficiently as part of a team and independently
  • Computer literacy, including proficiency in MS Word, Excel, PowerPoint, and email
  • Attention to detail in all areas of work
  • Able to work well under pressure and meet set deadlines
Working Conditions
  • Travel may be required
