We have just embarked on a journey within our department and more broadly across the organization to transform the way we do sourcing and vendor management. This role will play an important role within the indirect Strategic Sourcing and Procurement team. The primary focus will be research, analysis, interpreting data relative to demand, vendor spend to assist the team by identify opportunities for improvement as it relates to strategic sourcing. This role will act as a point of contact and subject matter expert for the business for Indirect purchase requisitions and purchase and work to understand the procurement requirements including evaluation and negotiation strategies for assigned projects.

Specific responsibilities include (but are not limited to) the following:

Market intelligence & Data Analysis activities to support category management strategies

Key responsibilities (40%)

• Research supply markets and industry trends throughout trade publication, sales interview to demonstrate the benefits to Holt Renfrew.
• Seek for new way of working and deep interest in technology
• Prepare appropriate recommendations and presentations based on research findings and analysis across categories
• Analyze and produce high quality category spend and savings analysis and commentaries.
• Present reports to key leadership and stakeholders outlining current practices and specific recommendations for changes.
• Monitor vendor performance and provide input to Sourcing Managers

Procurement - Key Responsibilities (50%)

• Work with the Store Operational teams to ensure contract terms, Service Level Agreements and escalations are understood throughout the sourcing/contracting phase and communicate their ownership of the contract upon execution.
• Acts as a point of contact and subject matter expert for the business for Indirect purchase requisitions and purchase orders.
• Issues purchase requisitions within authorized limits and schedules deliveries.
• Prioritize high volume of inquiries from the business (purchase request, purchase orders, cancelling and time sensitive orders, documents requirement and validation before approving the purchase order).
• Work closely with business partners to understand their needs, keep them informed at all times, provide strategic advice on purchase and educate then on all procurement process.
• Maintains, influences, and deepens relationship with stakeholders.
• Records ordering information, issues purchase orders to suppliers, in compliance with Procurement procedures to obtain purchase order numbers.
• Follows up on orders and coordinates the management of purchase orders
• Forecasting and replenishment Reporting: Build forecast via analyzing historical data purchase, demand patterns to make informed decision in order to improve Store Supplies forecasting and inventory management overall for suppliers in-scope.
• Track and interpret inventory levels of stocked goods to ensure demand fulfillment. Identify trends and recommending adjustments to minimize stockouts or overstock situations.
• Strategize inventory turnover into sales by utilizing unused inventory or product alternatives.
• Cross function collaboration: working closely with other departments such as Store operation, Finance to align procurement activities

Indirect Strategic Sourcing- Key Responsibilities (10%):

• Researches, identifies and recommends potential suppliers.
• Ability to manage vendor relationships and facilitating internal requirement gathering conversations.
• Obtain, reviews and evaluates quotations.
• Collaborate and support Indirect Strategic Sourcing Manager with RFP planning process, cost comparison, and coordinate with legal contract approval and documentation process within the sourcing contract tool.
• Responsible for communication, coordination and implementation of small sourcing initiatives and contract negotiations to suppliers and operations team.
• Ensure compliance to sourcing and contracting policies and procedures
• Responsible for data integrity of contract database - oversee maintenance and enhancement of central contract database.
• Establish work priorities, help in the scoping exercise and resolve issues with the Sourcing team and the Business, to assure internal customer satisfaction.
• Gather and coordinate information needed for existing agreements.
• Excellent communication skills (i.e. providing regular updates, exhibiting leadership capabilities).
• Act as a liaison between project manager's/business units and proponents through the sourcing process.
• Work collaboratively with all business areas to contract solutions that successfully meet business priorities. Facilitate information flow between Holt Renfrew business units and vendors.
• Other duties as assigned

• 3-5 years in similar role and function preferred
• SCMP or CIPS designation is an asset
• Creative with the ability to manage in an environment of change and ambiguity
• Ability to work in a high pressure and fast paced environment
• Experience in replenishment planning in retail industry.

• Ensure compliance with privacy policies, regulations, and cyber security measures.
