This is a hybrid role with a mix of in-office and remote work. Work arrangements will be discussed with hiring managers per departmental guidelines.

Your role

As Executive Assistant, you will assist the Project Managing Director in organizing and co-ordinating his activities.

You will work with a number of internal and external stakeholders, including other assistants and project managers. You will also be responsible for tracking documentation and ensuring its accuracy.

If you have a strong respect for confidentiality, are well organized and have broad experience working with senior executives, then this opportunity is for you.

You will have the following responsibilities:
  • Work with executives and project managers on a regular basis.
  • Manage the Project Managing Director's calendar.
  • Answer phone calls and manage emails, including messages of a sensitive nature.
  • Arrange meetings and conference calls: prepare agendas, draft minutes and produce various documents and presentations.
  • Direct the flow of information between the Project Managing Director's office and internal/external sources; assess the urgency and importance of queries/problems and ensure a timely response/resolution.
  • Plan and co-ordinate travel, regional tours and meetings held off-site (such as association forums).
  • Occasionally perform research, analysis and some project co-ordination in department activities.
  • Establish and maintain good working relationships with various CBC/Radio-Canada leadership teams and all external contacts.
You possess the following qualifications:
  • College diploma (DCS) or any combination of relevant training and experience
  • At least five years' wide-ranging executive-level administrative support experience
  • High level of computer proficiency; i n-depth knowledge of commonly used computer applications, specifically Google Workspace, MS Office and internet search engines
  • Excellent verbal and written communication skills in English
  • Functional knowledge of spoken and written French
  • Good interpersonal skills
  • Highly developed administrative and organizational skills
  • Accuracy and attention to detail
  • Strong ability to handle multiple priorities, work under pressure and meet stringent deadlines
  • Creativity to develop techniques for improving processes. Ability to comprehend and act on complex and sensitive matters
