Key Responsibilities:
  • Provide reception and student support assistance, utilizing specialized knowledge and diplomacy to handle sensitive and confidential situations.
  • Create a welcoming and inclusive atmosphere at reception, fostering positive relationships with students from diverse backgrounds.
  • Conduct initial assessments of students' needs for accessible learning support services, booking appointments or making referrals as necessary.
  • Manage calendars, booking student appointments and departmental activities with precision and attention to detail.
  • Employ a professional, non-judgmental approach to support students with challenging behaviors, mental health issues, physical disabilities, or diverse cultural backgrounds.
  • Respond to and redirect email, voicemail, and TTY messages, ensuring timely and effective communication.
  • Provide information on educational supports and accommodations available to students with disabilities.
  • Answer internal and external inquiries, offering guidance and resolving concerns where possible.
  • Prepare and complete various documents, forms, and correspondence with accuracy and efficiency.
  • Enter data into databases and tracking systems, assisting with reports and statistical analysis.
  • Maintain the career resource library and centre materials/adaptive equipment inventory, assisting students with resource borrowing.
  • Support faculty in scheduling and advertising workshops and courses.
  • Contribute to special projects and events, utilizing database, spreadsheet, publication, and presentation software.
  • Perform a range of clerical duties, including data entry, photocopying, ordering supplies, and maintaining files and records.
Qualifications:
  • Two-year diploma in Secretarial, Office Administration, or Human Services, plus three years of relevant reception and clerical experience.
  • Direct experience in student services, working with students from diverse backgrounds and with disabilities.
  • Exceptional interpersonal communication skills, with a proven client service orientation.
  • Ability to work positively in a team, adapt to changing situations, and exercise sound judgment.
  • Advanced skill in using Microsoft Office applications and typing 40 words per minute.
