Reporting to the Chief Administrative Officer (CAO), the Executive Assistant will provide comprehensive administrative and coordination support to the CAO and Senior Leadership Team.

Serving as the primary point of contact for internal and external constituencies on all matters pertaining to the CAO, including those of a highly confidential or critical nature, the Executive Assistant will prioritize and determine appropriate course of action, referral, or response, exercising judgment to reflect CAO's style and organization policy.

The Executive Assistant will be responsible for grant coordination on behalf of the City of Kenora.

This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

The Executive Assistant will:

Provide sophisticated calendar management for CAO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Anticipate CAO's needs in advance of meetings, conferences, etc.,Maintain the security and release of confidential/sensitive documents from the CAO. Manage and screen CAO email inbox and ensure CAO has necessary information available to be able to respond. Respond and follow-up on email inquiries, as necessary, on behalf of the CAO.Arrange and handle all logistics for meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials and record meeting minutes.Provide 'gatekeeper' and 'gateway' role, providing a bridge for smooth communication between the CAO and staff.Research, develop, and complete grant applications and related reports to corporate, foundation, and government funding sources.Complete projects by assigning work to appropriate staff, including the Senior Leadership Team, on behalf of the CAO.
Qualifications:Degree or diploma with a specialization in Business Administration, Public Administration or related field of study. Equivalent working experience in an administrative setting may be considered in lieu of education.One (1) to three (3) years working in an executive or senior administrative role.Excellent office management skills, including calendar management, time management, and the ability to meet critical and irregular deadlines.Demonstrated research, analytical, evaluation and problem-solving skills to identify trends and best practices and develop and recommend solutions.Proficiency in the preparation of agendas, minutes, and reports including the ability to research legislation, regulations and policies.Ability to deal with sensitive or confidential matters with tact, discretion, and diplomacy.Excellent verbal and written communication skills with the ability to communicate with all levels of staff, stakeholders and the general public.Strong decision making and proactive approach to problem solving.Advanced level of proficiency in Microsoft Suite applications.Advanced level of proficiency in Zoom/Teams is an asset.Experience in a public administration or municipal environment considered an asset.Completion of Municipal Administration program considered an asset or willing to obtain.Knowledge and understanding of municipal government and the functions of a municipal council including policies, by-laws, affiliated municipalities, provincial ministries, and relevant agencies considered an asset.Must possess valid 'G' class driver's license and have access to a reliable vehicle.
