Summary

The incumbent is responsible for various admissions activities; depending on the period in the admissions cycle, the incumbent may be asked to be responsible for opening dossiers, calculating averages, and handling and evaluating applications for admission and admission scholarships for all University programs. The incumbent ensures the interpretation and application of practices, processes and policies aimed at increasing the effectiveness and efficiency of the admissions process and attaining the admission objectives of the service and the University.

Key Responsibilities

  • Assemble applications for admission and input data in uoCampus; prepare acknowledgements of receipt; manage and numerically file documents in Xtender.
  • Receive and process students' documentation as part of the admissions process to identify official and non-official documents, according to the established norms.
  • Manage the digitization and indexing system for student dossiers efficientlyas well as Flag any problems to the admissions manager and/or the Associate Vice-rector, Strategic Enrollment Management.
  • Calculating averages: calculate admissions averages based on the norms established by the University. Verify the accreditation of Canadian and international universities as well as the authenticity of documents submitted and note admission conditions at the appropriate time.
  • Analyze and prepare admission dossiers for the undergraduate and graduate levels based on the University's requirements and ensure that all requirements are met.
  • Determine candidates' eligibility, manage data entry and prepare the dossiers for evaluation by the admission committees (master's and doctorate levels). Check the accuracy of the lists of different types of student status and make the necessary corrections.
  • Admit, defer or reject candidates following an analysis of the dossier and ensure follow-up with candidates. Enter the recommendations for admission offers and scholarship offers in the computer systems and actively participate in updating information relevant to admissions on the University's website.
  • Inform the admissions coordinator of any problems encountered during the admissions cycle to ensure maximum efficiency and quality services offered to candidates.
  • Stay up to date with the educational system in Canada and abroad.
  • Take part in improving the uoCampus system.

Education, Experience, Knowledge and Abilities

  • Relevant university training or a combination of training and experience that is deemed equivalent.
  • General knowledge of the university system and admissions processes in Canada and abroad.
  • Experience with data entry.
  • Experience in an advisory and customer service role in an educational setting.
  • Experience with a multicultural clientele.
  • In-depth knowledge of software tools such as Windows, word processing, presentation software, spreadsheets, Internet, email and electronic schedule-planning tools.
  • Knowledge of the student information system is an asset.
  • Meticulousness and keen attention to detail.
  • Tolerance for repetitive tasks.
  • Strong organizational skills.
  • Availability and flexibility to deal with emergencies.
  • Ability to collaborate and work as part of a team.
  • Sense of responsibility, good judgment, tact and discretion.
  • Bilingualism: fluency in English and French (oral and written).

RÉSUMÉ DES FONCTIONS

Le titulaire est responsable de différentes opérations au niveau des admissions; dépendant de la période du cycle d'admission, le titulaire peut être appelé à être responsable de l'ouverture de dossiers, du calcul de moyenne, du traitement des demandes d'admission et du processus d'évaluation des demandes et de bourses d'admission pour l'ensemble des programmes de l'université. Le titulaire assure l'interprétation et l'application des pratiques, des processus et des politiques visant à accroître l'efficacité et l'efficience du processus d'admission et à atteindre les objectifs d'admission du service et de l'Université.

PRINCIPALES FONCTIONS :

  • Monter des demandes d'admission et faire l'entrée des données dans uoCampus; produire des accusés de réception; gérer et classer de façon numérique les documents dans Xtender.
  • Recevoir et traiter la documentation des étudiants dans le cadre du processus d'admission afin d'identifier les documents officiels et non officiels, selon les normes établies.
  • Assurer une gestion efficace du système de numérisation et d'indexation des dossiers étudiants. Signaler les problèmes au gestionnaire des admissions et/ou vice-recteur associé, gestion des effectifs étudiants.
  • Calcul de moyenne : effectuer les calculs de moyenne d'admission selon les normes établies de l'Université. Vérifier l'accréditation des universités canadiennes et internationales ainsi que l'authenticité des documents soumis et relever les conditions d'admission au moment approprié.
  • Analyser et préparer les dossiers d'admission de tous les cycles selon les exigences de l'Université et s'assurer que toutes les exigences sont satisfaites.
  • Déterminer l'admissibilité des candidats, gérer l'entrée des données et préparer les dossiers pour évaluation par les comités d'admission (2e et 3e cycles). Vérifier l'exactitude des listes des différents statuts des étudiants et apporter les corrections nécessaires.
  • Admettre, différer ou refuser les candidats suite à l'analyse du dossier et assure un suivi avec les candidats. Entrer les recommandations aux offres d'admissions et aux offres de bourses aux systèmes informatiques et participe activement à la mise à jour des renseignements pertinents à l'admission au site Web de l'Université.
  • Informe le coordonnateur des admissions des problèmes encourus lors du cycle d'admission afin d'assurer l'efficacité maximale et la qualité des services offerts aux candidats.
  • Se maintenir à jour sur le système éducationnel au Canada et à l'étranger.
  • Participer à l'amélioration du système uoCampus.
