Position Summary
The Administrative Assistant I, Medical. Working under the direction of Dr. Shabbir Alibhai and the OACC team. The position requires effective and efficient operations, exceptional administrative abilities to ensure smooth operation of the OACC Clinic. Clinic days are Monday am, Thursday am, and Friday all day. The position requires considerable judgement/independence and utilizes the knowledge of Medical terminology/moderately advanced functions to provide secretarial and clerical services, booking new and follow up patients in clinic and related administrative activities; photocopying, sending, receiving and keeping track of faxes; assisting with the preparation of research grants, manuscripts, and presentations; billings; creating call schedules and other rotation-related activities for geriatric oncology fellows; ordering office supplies; and performing other duties consistent with the job classification, as required

Duties

  • Administrative/Research/Clerical functions as required
  • Update CVs on a regular basis in preparation for grant work
  • OACC Clinic Front desk duties on OACC clinic days, Monday mornings/Thursday mornings/Fridays all day
  • Work with and update OACC spreadsheets to schedule new and follow up patients
  • Picking up phone messages/voicemails - crucial to patient care
  • Retrieving articles/publications
  • Communicate with outside physicians and other health care professionals/agencies to facilitate patient care
Qualifications
  • Completion of Grade XII or recognized equivalent;
  • Completion of a recognized post-secondary office/medical administration program at the certificate level or equivalent;
  • Two (2) years related administrative support experience;
  • Experience in working in a Microsoft office environment (Word, Excel, PowerPoint, Outlook)
  • OHIP Billing (experience using MedBase an asset)
  • Excellent organizational, time management, and prioritization skills
  • Excellent verbal and written communication skills and excellent interpersonal and customer service skills
  • Excellent knowledge of healthcare, organizational/office practices, procedures and standards
  • Demonstrated ability to work in a team environment and collaborate as an active participant with others in assisting with the delivery of care to patients
  • Ability to maintain and protect patient confidentiality
  • Ability to use good/sound judgement in assessing difficult situations
  • Ability to produce high quality work in accordance with Hospital standards
  • Satisfactory attendance
  • Experience working in a healthcare environment preferred
  • Experience working in a teaching hospital environment preferred
  • Ability to work under pressure
  • Epic (electronic health record) experience an asset
  • Exceptional skills/attitude toward communicating and interacting with older adults
