About the Role
As an Executive Assistant, you will be responsible for providing a range of administrative and general workplace support for senior leaders. This includes calendar management, travel coordination, expense processing, and maintaining confidentiality.
Key Responsibilities
- Manage calendars for multiple leaders, including Managing Directors, Directors, and Vice Presidents
- Coordinate travel arrangements, including national and international travel
- Process expenses for teams and ensure timely completion
- Assist in coordinating in-office or virtual meetings, townhalls, or offsite events
- Maintain confidentiality and access to leaders' emails as needed
- Maintain and update relevant email distribution group lists
- Apply due diligence to complete ad-hoc administrative tasks
- Inform immediate team regularly on project status and day-to-day activities
- Provide vacation/temporary coverage for colleagues and support additional leaders
Requirements
- High school diploma with over 5 years of relevant experience
- Extensive knowledge of Microsoft Office Suite and internet applications
- Ability to work independently and as part of a team
- Ability to collaborate with other Executive Assistants and internal/external partners
- Ability to think strategically and multi-task while meeting conflicting deadlines
- Experience coordinating travel arrangements and managing frequent changes
- Strong organizational skillset to manage accountabilities and leaders' administrative requirements
- Excellent communication skills with the ability to listen actively and communicate effectively
- Strong judgment skills to support initiatives and apply discretion when working with confidential information
