Position Details The School of Communication Sciences and Disorders at Dalhousie University is seeking a Program Assistant to support the Dalhousie Hearing Aid Assistance Program (CS-DHAAP). The successful candidate will work under the supervision of the CS-DHAAP Program Manager to ensure the program functions at an exceptionally high level of service. Key Responsibilities
  • Schedule patient appointments and ensure the clinic is fully booked wherever possible.
  • Act as the first point of contact for patients with diverse and complex needs, responding to inquiries daily by email, phone, or in-person.
  • Confirm supports required for appointments, liaising with caseworkers and community support agencies as needed.
  • Assist with student and clinician schedules, arrange staff and case consultation meetings as needed.
  • Maintain Excel databases for all applicants, including student participation, appointment tracking, patient demographics, and status of applications.
  • Liaise with the SCSD receptionist regarding patient appointments and mailing/receiving packages as needed.
Required Qualifications
  • Business/office/medical administration diploma with approximately two to three years' related experience.
  • Proficiency in MS Office (Word and Excel).
  • Excellent teamwork and interpersonal skills.
  • Exemplary demonstrated communication skills (verbal and written) with the ability to interact with, support, and clearly convey information to a wide range of individuals with complex and diverse needs.
  • Strong attention to detail, multi-tasking, and organizational skills.
Assets
  • Knowledge of or experience in a university and/or medical environment.
