BC SUPPORT Unit

The BC SUPPORT Unit is a provincial initiative that moves evidence developed with patients and communities into practice. We provide services to researchers, patients, policy makers, clinicians and health system leaders.

We're founded under Canada's Strategy for Patient-Oriented Research (SPOR), a national initiative led by the Canadian Institutes of Health Research. We're part of Michael Smith Health Research BC and we're funded by the Government of Canada and the Province of BC.

Position Summary:

We're seeking a driven Project Coordinator to play a pivotal role in planning, implementing, and overseeing projects within the BC SUPPORT Unit. Collaborating closely with the Project Manager, you will leverage strong problem-solving and organizational skills to provide comprehensive project coordination support across all project phases. This position requires exceptional communication skills and attention to detail, as you will facilitate seamless project execution across diverse teams. Experience or a keen interest in health research, healthcare delivery, and improvement practices will be viewed as an asset.

This permanent position is grant-funded, with two to three years remining in the grant.

Key Responsibilities:

Project Planning and Coordination

  • Works closely with the Project Manager to support the implementation of the Strategy for Patient-Oriented Research (SPOR) Phase II project plan in alignment with Health Research BC's strategic direction.
  • Coordinates the planning and execution of key projects from initiation to closure, ensuring milestones are achieved within set timelines.
  • Facilitates team meetings, meticulously tracks decisions, action items, and meeting minutes to ensure clarity and accountability.
  • Manages document organization and storage for project records, ensuring accessibility and compliance with organizational standards.
  • Develops and implements a privacy and security compliance tracking system for all key Unit projects, adhering to privacy training requirements.
  • Reports project risks and outcomes to relevant management channels, escalating issues according to established project work plans.
  • Takes responsibility for developing communications and organizing events related to SPOR Phase II project, including workshops, conference calls, and management meetings. This involves preparing meeting materials such as agendas and packages, and monitoring action items and deliverables.
  • Identifies and adapts coordination and logistical strategies to meet evolving needs of the BC SUPPORT Unit.

Budgeting and Tracking

  • Develops and refines project plans, including budgets and schedules, and monitors progress throughout the project lifecycle.
  • Leads the tracking and reimbursement process for honoraria's provided to patient partners as required.
  • Manages vendor relationships to ensure timely delivery of high-quality work, supporting contract negotiations as necessary.
  • Tracks and reports progress of reporting and survey results through designated platforms, including REDCap.

Stakeholder Engagement

  • Serves as the primary point of contact between internal teams and external resources, fostering effective communication and collaboration.
  • Supports component and regional leads in aligning activities with the strategic directions of the Unit for Phase II projects.

Requirements:

  • An undergraduate degree and a minimum of three years related experience, or an equivalent combination of education, training, and experience.
  • Experience or interest in learning in health research, health care delivery, and improvement practices with a focus on patient partners.
  • Work experience in business development, administration, research, non-profit, health care or educational settings is an asset.
  • Completion or working toward completion of Project Management Certification. Training and/or experience in project management is an asset.
  • Demonstrates a high-level attention to detail and accuracy with the ability to identify priorities and complete multiple tasks to meet deadlines.
  • Strong verbal, written and electronic communication skills.
  • Strong computer literacy, including full competency in Microsoft Office (Teams, Outlook, Word, Excel, and PowerPoint). Knowledge of REDCap is an asset. Skilled in online meeting and collaboration tools (e.g., Zoom, Google Jamboard, Miro, Slido).
  • Experience in meeting and event planning, and familiarity with contracts or procurement experience is an asset.
  • A collaborative team player with strong interpersonal skills, capable of building relationships internally across Health Research BC and externally with stakeholders.
  • Proactive in identifying priorities, managing multiple tasks independently, and delivering results on time in a complex, evolving environment.
  • Able to handle stressful or sensitive situations with empathy, tact, and diplomacy, exercising sound judgment and discretion.
  • Open to continuous learning in equity, diversity, and inclusion, and Indigenous cultural safety. Training or experience in these areas are an asset.
