Join the Finance Team at the Faculty of Dentistry as a Senior Financial Specialist. This role is responsible for implementing and coordinating the day-to-day financial operations for the Faculty, providing financial processing support of an advanced and complex nature.

Job Summary

The Senior Financial Specialist will oversee revenues and expenditures for multiple programs, projects, and accounts, including complex monthly reconciliations, error investigation and resolution, and identification of discrepancies. This role will also prepare and review interim financial statements, ensure account managers are expending funds in compliance with UBC guidelines, and monitor financial progress of accounts.

Key Responsibilities
  • Oversee revenues and expenditures for multiple programs, projects, and accounts
  • Prepare and review interim financial statements
  • Ensure account managers are expending funds in compliance with UBC guidelines
  • Monitor financial progress of accounts
  • Act as the main finance contact for various programs and research units within the Faculty
  • Interpret written policies and communicate them accurately
  • Support the senior finance manager in maintaining and updating financial policies and procedures manual
  • Advises staff and faculty on financial documentation for transactions entered into Workday
  • Determines if payments to contractors are in compliance with Revenue Canada and the University's regulations
  • Maintains records for Professional Development Funds of clinical faculty and coordinates with department Head on spending of balances
  • Coordinates and processes hourly faculty payments and other payroll-related items
  • Analyzes, reviews, and validates transactions prepared by other staff
  • Supports and oversees the accounts receivable process for the dental clinic
  • Coordinates the accounts payable functions, including preparing or revising invoices
  • Responds to vendor and customer queries and follows-up on cheque requisitions or wire transfers as required
  • Monitors, reconciles, and investigates errors and exceptions in large, complex accounts
  • Trains staff and faculty on credit card reconciliation and other Workday related issues
  • Oversees electronic file management of all accounting and transaction documentation required to be kept in the Faculty for audit and reference purposes
  • Supports year-end financial operations by performing duties such as year-end accruals
  • Coordinates a variety of complex financial reports as required with the use of spreadsheets, Workday, OSCAR, Axium, and other reporting tools and systems
  • Assists the senior finance manager and clinic director in the generation of financial reports on performance of the different undergraduate and graduate programs
  • Coordinates training, facilitation, and implementation on new and improved UBC Financial and Student information systems applications
  • Coordinates work processes and may oversee the work of the other junior staff or students assisting with financial tasks
  • Provides input for finance policies and procedures
  • Works closely with senior finance manager on policies and procedures
  • Identifies areas that need attention, such as internal controls, and either implements appropriate procedures or brings them to the attention of the senior finance manager and Executive Director, Administration, Finance & Operations
  • Works with the senior finance manager in designing, developing, identifying, and implementing streamlining financial processes
  • Participates in ad hoc financial projects, prepares ad hoc financial analysis and reports as required, and performs other related duties as required
Requirements
  • High school graduation, plus Diploma in Accounting or Payroll CPA Level 2, plus four years of related experience, or an equivalent combination of education and related experience
  • Willingness to respect diverse perspectives, including perspectives in conflict with one's own
  • Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion
  • Accounting experience is required. May be suitable for someone with a goal of attaining their CPA designation
  • Training in office procedures and practices
  • UBC financial and Workday experience preferred
  • UBC Workday financial training will be required
  • Excellent communication, written and verbal, and interpersonal skills required
  • Demonstrated experience in performing detailed reconciliations, analyzing accounts, and a proficient understanding of accounting principles
  • Effective analytical and organization skills
  • Strong attention to detail and a thorough knowledge of UBC policies, Generally Accepted Accounting Principles, and CRA regulations is critical
  • Ability to effectively manage multiple tasks and priorities
  • Ability to understand and apply policies, procedures, and instructions
  • Ability to analyze and interpret data, determine implications, and provide recommendations
  • Ability to effectively use office software at an intermediate level, e.g., Microsoft Outlook, Word, and Excel
  • Ability to resolve problems in an innovative manner
  • Ability to oversee complex financial processes and perform complex analyses
  • Ability to accurately process source documents within required timelines
  • Ability to effectively perform accounts payable and accounts receivable related duties
  • Ability to accurately balance cash and resolve discrepancies
