Job Title: Program Support Assistant

Beendigen Anishinabe Women's Crisis Home and Family Healing Agency is seeking a highly organized and detail-oriented Program Support Assistant to join our team.

Job Summary:

The Program Support Assistant will provide administrative support to the Program Manager and assist with the day-to-day operations of Beendigen Programs. This includes maintaining an inventory system, ordering supplies, and performing basic cleaning duties. The successful candidate will also be responsible for setting up meeting rooms, developing best practices guides, and preparing reports.

Key Responsibilities:
  • Maintain an inventory system and order all necessary supplies for the office.
  • Assist in the day-to-day operations of Beendigen Programs, including administrative tasks and data entry.
  • Perform basic cleaning duties at the Golf Links office.
  • Set up meeting rooms for staff meetings and other events.
  • Develop, prepare, and maintain best practices guides and manuals for Beendigen programs.
  • Prepare and submit reports to the Program Manager as required.
  • Answer phone calls and respond to emails in a timely and professional manner.
  • Shop for supplies and materials as needed.
  • Assist with database maintenance and training as required.
  • Process financial documents and maintain accurate records.
  • Book flights and accommodations for staff and clients.
  • Coordinate team activities, including meetings and workshops.
  • Conduct research and gather information as required.
  • Create training materials and resources for staff and clients.
  • Perform data entry and maintain accurate records.
  • Assist in planning and executing program events, workshops, and meetings.
Requirements:
  • Diploma in Business Administration or equivalent experience.
  • High school diploma with a minimum of two years' experience in business administration may also be considered.
  • Comprehensive understanding of databases, computers, and software, including Microsoft Office.
  • Strong problem-solving and analytical thinking skills.
  • Excellent organizational, time, and general management skills.
  • Superior written, verbal, and interpersonal communication skills.
  • Ability to work independently with limited supervision.
Assets:
  • Experience working in an Indigenous organization.
  • Ability to speak Ojibway, Oji-Cree, or Cree.
  • Education or experience in the social services field.
Working Conditions:

The Program Support Assistant will work in an office environment, with occasional travel to non-standard workplaces. The successful candidate will work a 35-hour workweek, Monday to Friday.

Additional Information:

The Program Support Assistant is based at Beendigen's Golf Links location, but may be required to work across other sites from time to time.

This position directly reports to the Program Manager.
