Operational Support Specialist, Engineering and HSE
This role provides remote support to Canadian facilities with occasional in-person visits to Bradford and Markham facilities. The successful candidate will work across multiple time zones and may require extended hours to support international teams.
About the Role
This is an exciting opportunity for a highly organized and motivated individual to join our team as an Operational Support Specialist. The successful candidate will provide administrative support to the Engineering and Project Services, and Health, Safety and Environment teams.
Key Responsibilities
- Manage calendars, schedule appointments and meetings efficiently
- Coordinate travel arrangements, including accommodation, flights and vehicles
- Complete expense submissions through Concur
- Populate a weekly time sheet for retroactive capitalization of hours
- Spearhead Engagement activities, including administration, planning and execution
- Prepare presentation materials for meetings
- Attend meetings, record minutes, formalize timelines and track completion dates of action items
- Assist in research, analysis and preparation of special projects and development of project meeting schedules
- Develop and maintain an efficient filing system
- Process incoming and outgoing mail, manually or electronically
- Support Leaders to ensure smooth flow of information and activities
- Handle sensitive information appropriately and use good judgment in problem solving
- Liaise with stakeholders to maintain effective communication and close working relationships
- Compose, review and follow through on internal and external communication
- Other tasks as assigned
Requirements
- Minimum three years' experience supporting Operations management and leadership teams
- Post-secondary education in Project Management, Business, Office Administration or related field
- Strong technical skills, including Google Apps for Business, Google Office and MS Office
- Previous experience supporting corporate communications, managing confidential information and navigating fast-paced environments
