The Secretary will provide administrative support to two Directors and assist the Manager, Visitor Services with administrative tasks for five Visitor Information Centres. The role involves performing a wide range of secretarial and office support duties, including preparing correspondence, memos, and reports, and coordinating electronic calendars to arrange meetings and travel schedules.

Key Responsibilities:

  • Prepare routine and non-routine correspondence, memos, and reports
  • Assess and assign priority to mail and e-mail, redirecting and/or answering as appropriate
  • Support staff with external contracts and reporting
  • Coordinate electronic calendars to arrange meetings and travel schedules
  • Handle divisional financial processes and ensure proper procurement procedures are followed
  • Prepare agendas and accurate minutes and assist with records management requirements
  • Perform reception duties for the office, responding to and directing incoming calls and emails

Qualifications and Experience:

The ideal candidate will have completion of a one-year business course plus three years of related experience, or an equivalent combination of training and experience. They will have advanced skills in MS Office Products, including Outlook, Word, Teams, Excel, and PowerPoint, as well as experience with Adobe Creative Cloud.
