About the Opportunity
The Administrative Assistant is responsible for providing comprehensive, confidential high-quality administrative support to the Department Head Hospital Medicine by running an effective, proficient, and modern office. The position will coordinate the day-to-day operation of the Department Head Hospital Medicine's office. The position ensures all work is prioritized and dealt with promptly and efficiently according to NSH policies and procedures. The position provides additional support to individuals, committees, or working groups as assigned, as well as supports other members of the service as necessary.
The range and diversity of responsibilities will require the Administrative Assistant to adopt a flexible approach. The ability to work independently, often under pressure to tight deadlines, is essential.
About You
We would love to hear from you if you have the following:
- Post-Secondary diploma in a recognized office administration, business administration, or secretarial program required
- Undergraduate degree is an asset
- Minimum of 5 years of progressively responsible experience, providing administrative support and office coordination at the executive level, preferably within healthcare and within an integrated service model provided throughout several locations with multiple partners and stakeholders required
- International Association of Administrative Professionals (IAAP) certification is an asset
- Excellent communication, interpersonal, prioritizing, and organizational skills
- Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology
- Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information
- Competencies in other languages an asset, French preferred

Permanent, Full-Time; 75 Hours Bi-weekly
Compensation and Benefits
$23.78 - $29.73 Hourly
Successful candidates may be eligible for our benefits package which includes health, dental, travel, long-term disability, and life insurance coverage as well as a defined benefit pension plan.
