Position Overview:

Our client is seeking a highly organized and efficient Executive Assistant to provide administrative support to the executive team. This role involves a variety of tasks aimed at optimizing the executive's time, managing communication, and ensuring smooth day-to-day operations. The successful candidate will be skilled in HubSpot, Outlook, Microsoft Office Suite, and will have experience in managing business schedules, organizing events, and liaising with new and existing business contacts.

Key Responsibilities:

  • Executive Support: Assist the executive team with day-to-day administrative tasks, managing emails, calendars, and correspondence.
  • HubSpot Management: Use HubSpot to manage communication, track business interactions, and ensure follow-up with clients and potential business leads.
  • Event Coordination: Organize company events, meetings, and conferences, ensuring all logistical details are handled smoothly.
  • Meeting Scheduling: Set up and manage meetings with new and existing businesses, coordinating availability and ensuring timely follow-ups.
  • Social Media & LinkedIn Management: Regularly check and update LinkedIn profiles, ensuring professional presence is maintained and managed.
  • Email Management: Monitor and prioritize emails, responding on behalf of the executive when necessary and ensuring follow-up actions are completed.
  • Team Accountability: Ensure internal teams are meeting deadlines and following up on their responsibilities. Communicate any bottlenecks or challenges to the executive.
  • Calendar Management: Efficiently manage and prioritize the executive's calendar to maximize time and productivity.

Skills & Qualifications:

  • Proven experience as an Executive Assistant or similar role, preferably within the logistics, e-commerce, or tech industry.
  • Proficiency in HubSpot, Microsoft Outlook, and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent verbal and written communication skills.
  • Ability to work independently, prioritize tasks, and maintain discretion.
  • Knowledge of LinkedIn and professional social media management.
  • Experience in coordinating events and managing business relationships.
  • Strong attention to detail and problem-solving ability.
