Le spécialiste principal de la paie bilingue participe à plusieurs transactions liées aux fonctions de paie hebdomadaires et bimensuelles de l’entreprise. Il doit notamment communiquer de façon rapide et précise les données sur la paie des employés de l’entreprise. Pour réussir dans ce rôle, il faut être un modèle d’intégrité et avoir un grand souci du détail.
Responsabilités
- Préparer et gérer la paie pour l’ensemble des employés de l’entreprise, tout en vérifiant l’exactitude des rapports de traitement de la paie.
- Connaître la législation et les procédures de paie relatives à toutes les provinces, en particulier le Québec.
- Veiller au calcul exact des salaires, des retenues d’impôt et des retenues de l’entreprise.
- Gérer le système de gestion de la paie interne Oracle et veiller à ce que toutes les informations relatives aux dossiers des employés, à la paie, aux congés et aux heures supplémentaires soient consignées avec exactitude.
- Coordonner et traiter la paie en temps opportun, tout en veillant à l’intégrité des données de la paie.
- Procéder à l’équilibrage de toutes les opérations liées à la paie et préparer la feuille de calcul aux fins d’approbation finale avant la transmission.
- Classer chaque semaine les dossiers d’entretien des employés, les dossiers de conformité réglementaire et les rapports internes.
- Veiller à ce que tous les employés soient payés à temps et adéquatement.
- Préparer et tenir à jour les relevés d’emploi sur RE Web.
- Tenir des registres et une documentation détaillée des fonctions de paie aux fins de vérification, conformément aux exigences prévues par la loi.
- Produire les rapports de fin de mois et coordonner les paiements aux tiers.
- Offrir un service à la clientèle de qualité supérieure, en garantissant un délai maximum de 48 heures pour toutes les demandes de renseignements relatives à la paie provenant des employés, de la direction et des organismes gouvernementaux externes.
- Traiter toutes les demandes relatives à la paie formulées par les employés, la direction et les organismes gouvernementaux externes.
- Faciliter les vérifications internes et externes.
- Participer aux projets spéciaux, au besoin.
- Accomplir d’autres tâches, au besoin.
Exigences
- Bilinguisme (français et anglais) à l’oral et à l’écrit.
- Études postsecondaires ou expérience de travail équivalente.
- Accréditation de professionnel en conformité de la paie (PCP)
- Au moins 5 ans d’expérience en gestion de la paie (cycle complet) au sein d’un environnement syndiqué, notamment pour un service de paie au Québec.
- Maîtrise d’Oracle, de Kronos et de RE Web.
- Connaissance de Microsoft Excel, Outlook et Word. Solide expérience avec Excel, une nécessité (fonction RECHERCHEV, tableaux croisés dynamiques, formules de dépannage).
- Expérience en traitement de renseignements confidentiels et de nature délicate. Capacité éprouvée à faire preuve de discernement et à comprendre l’importance et la valeur de l’intégrité des données.
- Capacité à travailler de manière appliquée et méticuleuse et à assumer la responsabilité de son travail.
- Capacité à effectuer plusieurs tâches à la fois dans un ordre efficace, à travailler sous pression et à respecter des délais serrés.
- Expérience avec toutes les activités de traitement de la paie de fin d’année.
- Connaissance pratique des lois canadiennes (fédérales, provinciales et municipales) relatives à la paie et au travail, en particulier la Loi sur les normes d’emploi, les lois relatives à l’Agence du revenu du Canada et à Revenu Québec, ainsi que la Loi sur les accidents du travail.
- Bon esprit d’équipe et excellentes aptitudes pour le service à la clientèle.
Position Summary
The Bilingual Payroll Specialist is responsible for assisting in multiple transactions relating to the companies weekly/bi-weekly payroll functions. This includes timely and accurate reporting of payroll data for the company employees. Integrity and strong attention to detail are crucial for this role.
Job Duties
- Prepare and administer payroll for all company employees, while auditing payroll processing reports for accuracy.
- Awareness of legislation and payroll procedures relating to all provinces, specifically for the province of Quebec.
- Ensure accurate calculation of wages, tax withholdings and company deductions.
- Managing and administering the Oracle in-house payroll system and ensuring that all information related to employee records, payroll, leave, and overtime records are well recorded and accurate.
- Coordinate and process payroll in a timely manner ensuring the integrity of payroll data.
- Balance all payroll transactions and prepare worksheet for final signoff prior to transmission.
- Weekly filing of employee’s maintenance records, regulatory compliance records and internal reporting.
- Ensure all employees are paid accurately and in a timely fashion.
- Prepare and maintain records of employment on ROE Web
- Maintain detailed records and documentation of payroll functions for audit purposes, in accordance with statutory requirements.
- Complete month end reporting and coordinate third-party payments.
- Deliver superior customer service, ensuring a maximum of 48 hour turn around for all inquiries arising from questions relating to payroll, from employee, management, and external government agencies.
- Respond to all payroll enquiries from employee, management, and external government agencies.
- Support internal and external audits.
- Participate in Special Projects as required.
- All other duties as assigned.
Requirements
- Bilingual written and verbal (English and French)
- Post-secondary education or equivalent work experience
- Completion of Payroll Compliance Professional (PCP) certification
- Minimum of 5 years of full-cycle (end to end) payroll experience within a unionized environment including Quebec Payroll
- Proficiency with Oracle, Kronos, ROE Web
- Computer proficiency in Microsoft Excel, Outlook, and Word is required. Strong Excel experience is a must (VLOOKUP, Pivot tables, troubleshooting formulas)
- Experience dealing with confidential and sensitive information. Demonstrated judgement and understand the importance and value of data integrity.
- Detailed-oriented with a high degree of accuracy and takes ownership of their work.
- Ability to multitask and prioritize tasks, work under pressure, and meet tight deadlines.
- Experience in all year end processing activities
- Working knowledge of Canadian (federal, provincial, municipal) employment and payroll related legislation, in particular ESA, CRA, MRQ and Workers Compensation
- Positive team player attitude with strong customer service orientation is desired.
