The Opportunity

As our Senior Administrative Assistant, you'll be stepping into a role that offers both responsibility and the chance to make key decisions that impact the efficiency of our operations. Working closely with the Executive Assistant, you'll be trusted with a variety of tasks—from scheduling to managing communications and office resources. Your Role in Our Success

  • Manage a busy calendar by organizing and scheduling appointments, meetings, and events, ensuring all logistics are in place. Prepare agendas and take meeting minutes as needed.
  • Coordinate and book travel arrangements, including booking tickets, transportation, accommodations, and itineraries. Track and reconcile travel expenses.
  • Support the Executive Assistant in various tasks, including HR-related matters, scheduling interviews, onboarding, maintaining employee records, and assisting with general office administration and management needs.
  • Manage incoming and outgoing emails. Draft and send letters, memos, and other communications.
  • Monitor and maintain office supplies inventory. Order supplies as needed to ensure uninterrupted office operations.
  • Take initiative in resolving office management issues. Ensure the office environment is organized and efficient.
  • Maintain and organize physical and electronic files, ensuring easy retrieval of information.
  • Assist in preparing and monitoring invoices. Ensure timely processing and payment.
  • Create a welcoming environment for business partners when they visit the office.
  • Address additional tasks as needed to support the business needs.

  • Bachelor's degree in business administration, communications, or a related field is preferred.
  • Good written and verbal communication skills. Intermediate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Nice to have: Ability to use HubSpot and Google Office Suite. Training can be provided.
