Project Coordinator

We are looking for an outstanding Project Coordinator to create and maintain a set of integrated project schedules, as well as to administer and organize various types of projects within the IT portfolio, from simple activities to more complex plans, while collaborating with a wide range of stakeholders. This role is a hybrid position and requires working onsite three (3) days per week.
The Project Coordinator works closely with IT Portfolio Directors, Project Managers and team members to create and maintain a set of integrated project schedules, project reports and dashboards. The incumbent performs various coordinating tasks relating to schedule, risk management, budgeting and maintaining project documentation. To succeed in this role, you should be highly collaborative and flexible, have excellent organizational, time management and communication skills, as you will be collaborating with colleagues and external suppliers in helping teams deliver results on tight deadlines.
Responsibilities- Work with Project Managers to create and maintain project waterfall, hybrid and agile schedules with tasks, milestones and interdependencies
- Support projects with project management tools such as Smartsheet, Jira, Confluence and SharePoint
- Coordinate project management activities, resources, and documentation
- Help prepare and update budgets
- Monitor project progress and contribute to resolving any issues and blockers that arise
- Use tools to monitor working hours, plans and expenditures
- Create and maintain comprehensive project documentation, plans, status reports and health dashboards
- Ensuring documentation is maintained throughout the project life cycle
- Building and maintaining effective relationships with multiple teams
- Assisting the Project Manager with administrative functions and processes
- Managing day-to-day activities for the IT Project Management Office
- Analyzing project data and producing progress reports
- Support risks assessment and analysis process
- + 2 years of experience in project scheduling and coordination
- Work experience as a Project Scheduler, Coordinator or similar role
- Exceptional ability to collaborate in a team environment
- Flexible and able to adapt in fast-changing environments and timelines
- Excellent attention to detail
- Strong written, verbal, and presentation skills
- Ability to organize priorities based on deadlines
- Able to prepare precise project schedules, project status reports and health dashboards
- Excellent organizational and time management skills, including multitasking and time-management
- Strong client-facing skills
- Experience in coordinating teams and clients
- Working knowledge of MS Office suite (Word, Excel and PowerPoint) and project management tools such as Smartsheet, Jira, Confluence and SharePoint or equivalent
- Ability to work independently and as part of a team
- Excellent communication and interpersonal skills
- Bachelor’s degree (or equivalent) in relevant field
- Familiar with agile, hybrid and waterfall project methodologies
The successful candidate must be able to work in Canada and obtain clearance under the Canadian Controlled Goods program (CGP).
