Compensation: The base annual salary range for this full-time role is between $66,000 to $91,000. This range reflects the minimum and maximum target range for new hire base salary across all Canadian locations. Actual compensation may vary outside of this range and is dependent on various factors including but not limited to a candidate's qualifications including relevant education and training, competencies, experience, geographic location, and business needs. Base pay is only one part of the total compensation package. Full-time roles are eligible for equity and benefits. Base pay is subject to change and may be modified in the future.
Description
Our people team is looking for a People Operations Specialist to join our team and help take us to the next level. Reporting to the VP, People but working closely with our whole People team, this role will be responsible for the magic behind the scenes that makes our team a key partner to the business. Photonic has grown quickly and we are hard at work to create People practices and processes to support a larger team. If you love to build, organize, and make the most out of processes, you’ll love this role.

WHAT WE NEED YOU TO DOSystems and Tools
- Be our internal expert on HR systems – HiBob as our HRIS, as well as other systems like our ATS and EOR systems
- Support in the development of People Operations processes based on industry best practice, scalability, and ease of use
- Ensure processes are well documented and easy to find
- Actively identify opportunities to utilize HR tools to streamline, automate and power our People operations processes
- Research and recommend new tools or ideas to support the scaling of People operations
- Be the source for HR data – ensure our data is clean, up to date, and accurate
- Support in the development of reports and produce them as needed
- Support in the development of clear guidelines and systems for data collection, ensuring consistency across all People projects and initiatives
- Maintain HR records and documentation, including files, templates, letters, policies, and employee handbooks
- Manage, organize and conduct new employee onboarding process, including preparing onboarding materials, delivering P&C orientation sessions, and scheduling training sessions
- Coordinate with Payroll, IT, and IP teams to ensure employee offboarding process is compliant with various internal policies and local employment laws
- Own the employee onboarding and offboarding programs, ensuring our employees have the best employee lifecycle experience
- Act as a first point of contact and resource for employees, addressing questions, concerns, and providing guidance on HR policies and procedures
- Support the People team in developing policies and procedures that are in compliance with all federal, provincial, and local employment laws and regulations
- Bonus points if you are familiar with US and UK employment practices as well
- Be an active participant in the company’s Joint Health and Safety Committee
- Administer health benefits programs for our Canadian, US, and UK employees according to their life cycle (enroll, update, terminate)
- Be the first point of contact for benefits related questions
- Act as a liaison between Photonic and benefits providers / insurance brokers
- Participate in benefit programs evaluation and design
- Assist in annual renewal process
- Assist in the administration of compensation and salary review processes
WHAT YOU BRING TO OUR TEAM
- Post-secondary education in human resources, business administration, or related field, or a combination of education, training, and experience. (Bonus point if you’re CPHR, SHRM, or CPID certified)
- 3-5 years of progressive experience in People Operations roles, preferably in tech startup environment
- A thirst for deep tech, science and building groundbreaking stuff – we’re doing some cool stuff here
- Experience managing HRIS, ATS, and EOR systems, such as HiBob, Pinpoint, and Remote
- Experience creating, implementing and rolling out new processes
- Strong problem solving, time management skills
- An attitude with a bias to action
- Strong interpersonal and communication skills
- Knowledge of Canadian employment laws and regulations. (Bonus points if you are familiar with US or UK employment laws and regulations, too)
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in MS Office Suite, particularly in Excel
