Job Summary
As the Executive Assistant, you will serve as a key partner to the team, providing administrative support and ensuring efficiency in daily operations. This role is ideal for someone who thrives in a fast-paced environment, is resourceful, and enjoys wearing multiple hats.
Key Responsibilities
- Manage and maintain executive calendars, including scheduling meetings and appointments.
- Organize and prioritize emails and communications; respond on behalf of the executive as needed.
- Prepare reports, presentations, and correspondence with attention to detail.
- Coordinate team meetings, take minutes, and track action items.
- Book and coordinate team events.
- Handle travel arrangements, itineraries, and expense reporting.
- Assist with HR functions such as onboarding new hires or managing part-time staff schedules.
- Perform other duties as assigned, contributing to the overall success of the company.
- Support management and execution of contracts.
- Support preparation of client facing deliverables and RFPs.
Qualifications
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role
- Proficiency in Microsoft Office Suite
- Strong attention to detail required
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Discretion and confidentiality when handling sensitive information
- Experience with Ceridian software (ie. Vacation approvals, adding new resources etc)
- A proactive, problem-solving mindset.
- Must be eligible to work in Canada
- Must be proficient in English, written and verbal
Position Details
- Hours: Flexible part-time schedule, 15-20 hours per week.
- Compensation: Competitive hourly rate or part-time salary, commensurate with experience.
- Location: Remote, within Canada
