PROJECT BACKGROUND

Our client is implementing a new SaaS based Student Information System (SIS) with complex integrations to other internal systems. As such, they are currently seeking a Business Analyst, who has experience in analyzing, identifying and solving problems affecting the business solution on a large transformational initiative to join our Ottawa, Ontario team.

Description Of Work / Deliverables

Algonquin College has a requirement for a Business Analyst who will work with College stakeholders as it relates to the SIS project. The incumbent will engage with clients to document their business requirement, process/flows, and create current/future state maps, such that the technical team can develop a solution/product. The incumbent will also be responsible for learning the SIS in such a way that will allow for them to facilitate detailed testing of the system, and supporting the development of training materials and execution of training with end users.

Key Responsibilities

Key responsibilities include, but are not limited to:

  1. Acting as a lead SME on their assigned SIS module, the Business Analyst is responsible for having a thorough and complete understanding of their assigned module in order to facilitate all key responsibilities and duties, as well as supporting business areas in understanding the SIS functions.
  2. Evaluating business processes, anticipating requirements, uncovering areas for improvement, and developing and implementing solutions.
  3. Facilitating and participating in configuration workshops, module focused working groups, developing future state process maps, supporting (testing, data mapping, Integrations, interfaces, reports, etc.) activities.
  4. Leading ongoing reviews of business processes and developing future state process maps.
  5. Developing functional specifications documents, updating configuration workbooks and collaborating with other BAs, BSAs, SMEs and Vendor consultants.
  6. Documenting and effectively communicating insights and plans to cross-functional team members and management.
  7. Gathering critical information from meetings with various stakeholders and producing useful reports.
  8. Ensuring solutions meet business needs and requirements.
  9. Performing config testing, user acceptance testing, integration testing and documenting test results.
  10. Prioritizing initiatives based on business needs and requirements.
  11. Developing training materials for end users.
  12. Facilitating training offerings for end users within the business area.

RESPONSIBILITY AND DECISION-MAKING PROCESS

The Business Analyst will report directly to the Team Lead of the SIS work stream and the Manager, Student Information System Implementation and Business Transformation.

LOCATION

The incumbent will perform work on-site as required to meet the objectives of the project. For portions of the work that can be completed remotely, this may be conducted by utilizing Algonquin College's VPN or alternate services, as agreed with the Client in advance. All work and consultations involving College staff will be conducted at the Algonquin College Ottawa Campus or via web-conferencing services when appropriate. Work will be conducted during Algonquin College’s core business hours of 8:30 a.m. to 4:45 p.m. EST and cannot exceed 7.25 hours per day.

TIMELINE

This incumbent will be required full-time, for a one-year contract with possibilities for annual extensions through completion of the project deliverables. Extension option occurring on the yearly anniversary date.

QUALIFICATIONS

A minimum of ten (10) years’ experience as a business analyst;
A Minimum 3-year post-secondary diploma (or equivalent);
Exceptional analytical and conceptual thinking skills;
Excellent documentation skills;
Significant, recent experience with ERP systems, cloud solutions, and transformative projects, including postsecondary student information systems;
Experience With Thesis Student Management Preferred
Ability to engage/influence stakeholders and work closely with them to determine acceptable solutions;
Experience with one or more current industry standard back-office processes and process mapping;
Experience analyzing IT automation solutions combined with business process improvement initiatives;
Competency in Microsoft applications including Word, Excel, PowerPoint, Visio, SharePoint, and Outlook;
Hands-on experience developing process flow chart/diagram and documents;
Knowledge of data and process modelling;
Experience in change management;
Experience working in a post-secondary environment;
Experience training end users;
Knowledge of Agile and Waterfall methodology;
Excellent communicator, both orally and in writing and ability to describe problems to others, to listen and to manage and influence stakeholders;
Experience with MS Project and integrated planning is an asset;
Salesforce experience an asset;
M20PM experience an asset.
