The IT Vendor Management Analyst is responsible for supporting the IT Procurement and Vendor Management services for HOOPP. This role involves high-level collaboration with various stakeholders including IT, legal, audit, and business teams to manage third-party risk, procurement requests, and vendor management activities. We are a small team with many shared responsibilities. A successful candidate will have the ability to build strong business relationships with external vendor partners, operate in ambiguity, and maintain sight of the big picture while not losing track of the details. The position also has tactical responsibilities that include risk assessments, contract and compliance analysis, license procurement, and value rationalization.

What you will do:

  • Review all technologies in use at HOOPP, with great exposure to the latest tech supporting multiple lines of business and IT.

  • Execute and continuously improve processes to assess and manage third-party technology & risk.

  • Facilitate cross-team discussions (i.e., IT Teams, InfoSec, Legal, Risk, Business, etc.) to capture requirements, identify risks and controls, and set expectations for service delivery.

  • Research and analyze third-party technologies risks and controls to support informed business decisions.

  • Coordinate vendor-facing activities – gather/analyze compliance documentation, support licensing process, facilitate contract review and negotiations.

  • Monitor vendor spend (costs) proactively identifying opportunities to improve cost-effectiveness and track against budget forecasts.

  • Onboard new vendors, ensuring pertinent information is captured and endorsed by service owners.

  • Facilitate contract renewals, coordinate quotes/contracts from vendors to be reviewed and signed off by IT Teams.

  • Partner with IT Teams to conduct vendor performance reviews, ensuring SLA compliance and continuous improvement of vendor service.

  • Ensure data integrity of the 3rd party contract management system.

  • Conduct vendor service asset and licensing usage review to ensure compliance with contracted service entitlements.

  • Track invoices and reconcile against new order requests, renewals, or professional services engagements.

  • Facilitate invoice review to ensure accuracy prior to submission for payment approval.

  • Liaise with finance and coordinate any invoice investigations with vendor partners (i.e., billing errors, company name or billing address changes, etc.).

What you bring:

  • Diploma or Degree in Computer Science, Finance, or equivalent work experience.

  • 3 to 5 years’ experience in IT vendor operations and risk management.

  • Experience working in an Agile/Scrum environment preferred.

  • Proven leadership ability with strong people skills.

  • Experienced liaising with different lines of business and IT (at all levels, including executives).

  • Strong understanding of the current technology landscape, including cloud, software, and key industry trends and standards (i.e., brands, models, and services, etc.).

  • Versed in common IT product licensing and compliance management.

  • Proficient in using Microsoft Office productivity suite (Office 365).

  • Experience with ServiceNow is preferred.

  • Excellent customer relations, written and verbal communication skills.

  • Good time management and organization skills, with the ability to work well under pressure and deal with multiple deadlines.

  • Ability to learn quickly and identify creative technical and process solutions in an ambiguous environment.

  • Ability to work independently or as part of a team.
