Position Summary


We are seeking a highly organized, hands-on Executive Director to take ownership of firm operations, actively implementing processes and solutions to ensure smooth day-to-day functioning. This is a doer’s role—while strategic oversight is important, the Executive Director will also be directly responsible for executing administrative, financial, HR, and office management tasks.


The ideal candidate is proactive, detail-oriented, and capable of juggling multiple responsibilities independently. This is a full-time, in-person position essential to the firm's continued success.


Key Responsibilities


1. Operations & Process Implementation

Develop and personally implement systems to improve efficiency in all areas of firm operations.

Maintain office policies, procedures, and workflows to keep everything running smoothly.

Track deadlines, prioritize firm needs, and take initiative to resolve operational issues as they arise.

Ensure compliance with all relevant regulations and legal industry requirements.


2. Financial Administration

Directly handle firm budgeting, expense tracking, and cost control.

Issue invoices, track payments, follow up on overdue accounts, and ensure proper billing practices.

Work with the bookkeeper and external accountant to maintain accurate financial records.

Monitor and reconcile bank statements and expense reports.

Oversee vendor payments, contracts, and office expenditures.


3. Human Resources & Office Support

Personally manage recruitment processes, including job postings, resume screening, and scheduling interviews.

Onboard new hires, ensuring they have the necessary tools and training to succeed.

Maintain personnel records and implement workplace policies.

Address employee inquiries and foster a professional and positive work environment.

Handle scheduling, workload distribution, and office organization.


4. Client & Business Development Support

Personally manage client intake and ensure all client inquiries are handled efficiently.

Maintain the firm's online presence, including updating the website and managing social media.

Implement business development efforts, such as organizing networking events, client appreciation initiatives, and marketing outreach. Assist in maintaining and improving client relationship management systems.


5. Office & Technology Management


Directly manage office logistics, ensuring a well-maintained, organized, and professional workspace.

Order and manage office supplies, troubleshoot facility issues, and coordinate office improvements.

Liaise with IT providers to resolve tech-related problems and implement new systems where needed.

Plan and execute firm events, meetings, and internal team activities.

Financial literacy: Comfortable managing budgets, invoices, payments, and financial reports.

Strong interpersonal skills: Capable of working closely with lawyers, staff, vendors, and clients.


Communication skills: Excellent verbal and written communication.


Tech-savviness: Comfortable using Microsoft Office and learning new legal and administrative software.


Confidentiality & integrity: Ability to handle sensitive legal and financial information with discretion.


Salary Range: $50,000 – $60,000

Benefits: Available after the probationary period
