WHO WE ARE


The World Anti-Doping Agency (WADA) was established in 1999 as an international independent agency to lead a collaborative worldwide movement for doping-free sport.

As the global regulatory body, WADA's primary role is to develop, harmonize and coordinate anti-doping rules and policies across all sports and countries.


Our key activities include:

scientific and social science research; education; intelligence & investigations; development of anti-doping capacity; and, monitoring of compliance with the World Anti-Doping Program.


POSITION OVERVIEW


The Manager, Events has the responsibility to ensure the successful conduct of WADA conferences, symposia, and key governance meetings around the world.

This entails managing the full cycle of the events, including conception and initiation, planning, execution, budget control, and the reporting and closing of the event.

The events for which the Manager assumes responsibility are generally those where participation is over 150 persons and those which have an organization-wide impact.

Where the Manager is not directly managing an event, they may be required to mentor colleagues within WADA to support the implementation of other smaller technical-type events and meetings.

The Manager also plays a key role in advising the Agency on procedural protocols for important Agency-led meetings and events, as well as those where the President or members of the Foundation Board or Executive Committee are invited.


KEY RESPONSIBILITIES

Event Management and Coordination:

Developing and actively managing plans for the organization of the events, including timelines, and division of responsibilities;
Developing cost projections/budget analyses and ensuring appropriate expense management;
Liaising with external stakeholders/hosts and internal event content owners, acting as team lead between all members;
Researching, negotiating and reviewing contracts with third party service providers such as venues, hotels, Professional Conference Organizers, suppliers and contractors, and maintaining relations with them;
Defining and managing all meeting logístical requirements, in line with the technical program*Identifying potential risks to event execution, and developing contingency plans where needed;
Conducting post-event activities (event evaluation/survey, post-event reconciliations with hosts/venue, debrief report etc.);
Providing protocol advice and/or direct protocol services for important events, including supporting high-level VIP visits to WADA as well as visits by high-level WADA Officials to external official functions and events;
Supporting and coordinating event attendance where WADA staff and/or members participate in volume/large numbers and representation is across multiple teams and a central coordination role is necessary;
Reviewing existing Agency processes for event coordination and management and making ongoing recommendations for process improvement.

  • Given traditional events and meetings have been affected by the recent global COVID pandemic, many are now convened in a virtual and/or hybrid format. The Manager is responsible for adjusting plans to support the varied formats and will lead the execution of the events which may at times require actual event moderation/emceeing.

QUALIFICATIONS AND SKILLS
Minimum five to seven years event planning/coordination experience including in complex large-scale international events;
Tertiary or further education in a relevant field, e.g., such event management/planning, public relations, communications or hospitality management;
Relevant protocol training and/or direct experience in high protocol settings;
Project management certification (desirable);
Self-starter and highly motivated with a proactive approach to event and project goals and objectives;
Excellent interpersonal and client/stakeholder service skills (this includes with internal departments, plus external partners);
Sound negotiation skills;
Excellent organizational and time management skills; capable of coordinating and managing multi-dimensional projects within tight and demanding deadlines;
Excellent budgetary and tracking/control skills;
Understanding of AV technologies and venue schematics in order to meet the specific needs of projects and events;
Ability to work under time pressure and deal effectively under stress;
Strong attention to detail.
Excellent written and verbal client facing and internal communication skills in one of the two WADA official languages (English/French) and very good command of the other official language; additional languages would be an asset;
Availability to travel to conduct site inspections and attend on-site meetings/events, sometimes being on-site for extended periods
