The Department of Curriculum, Teaching and Learning is the largest of four departments at the Ontario Institute for Studies in Education (OISE).

With a diverse community of tenured, research,and teaching stream faculty, the department offers a wide-range of graduate courses and programs relating to academic scholarship and professional practice.


Your opportunity:


Reporting to the Manager, Academic Programs, this position is responsible for developing and implementing departmental systems, deadlines and procedures in regards to admissions, awards, and student events.

The Graduate Liaison Officer will process and co-ordinate departmental graduate studies awards; counsel students; liaise with the Registrar's Office and Student Experience,
OISE's Graduate Funding Office, faculty, School of Graduate Studies, student organizations and other departments for all student activities regarding academic admissions, awards, student employment opportunities and student events.

Additional responsibilities include maintaining and disseminating information regarding external and internal financial awards available, such as SSHRC, OGS, and otherscholarships and awards; coordinating award competitions; serves as lead coordinator for all aspects of the annual orientation (including Open House, "Meet and Greets" for potential students and producing of a variety of reports for the department or academic programs.

Your responsibilities will include:

  • Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background
  • Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
  • Ensuring that procedures and/or guidelines are followed
  • Delivering student recruitment and award presentations
  • Keeping wellinformed on changes to policies, procedures, collective agreements, and applicable legislated requirements
  • Analyzing potential Graduate Assistantship and Teaching Assistantship placement opportunities to determine suitability with student academic learning objectives

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum four years' recent and relevant graduate administration and graduate student experience.
  • Experience advising graduate students and faculty with relevant academic guidelines and procedures and other related information.
  • Experience providing senior administrative support for the Graduate office, including coordinating the graduate admissions process, scholarships & awards to the Registrar's Office and Student Experience (ROSE).
  • Experience developing and maintaining statistical data and reporting, and providing administrative support to committees.
  • Knowledge of and demonstrated experience with interpreting policies, procedures and collective agreements of the University of Toronto or other related environments.
  • Experience developing and maintaining records and files.
  • Experience with organizing student events and workshops.
  • Experience conducting presentations to a wide range of audiences and promoting programs.
  • Advanced skills with MS 365 (Word, Excel, PowerPoint, and Outlook). Ability to learn new information and technology quickly and at a detailed level. Strong math and data management skills are required.
  • Experience running queries, data management and data analysis.
  • Advanced skills working with ROSI/ACORN, Slate or other related student information system.
  • Excellent written and verbal communication skills. Excellent presentation skills.
  • Excellent interpersonal and analytical skills; time management and project management skills are required.
  • Shows excellent problem solving skills, accuracy and the ability to meet multiple deadlines while working in an environment with frequent interruptions.
