This is a HYBRID role (working approximately 3 days per week in the office). The office is located in downtown Toronto, a short 5-minute walk from Union Station.
OPPORTUNITY:Our client is an organization with a rich and stable history in Toronto, committed to environmental and social responsibility.They are looking for an Executive Assistant to provide support to a dynamic CEO and act as a liaison with the Board of Directors.The CEO values the essential role an EA plays and seeks a long-term partnership.If you thrive in a fast-paced, collaborative environment, we are eager to hear from you.
Duties and Responsibilities:
- Efficiently manage all administrative tasks for the CEO.
- Handle the CEO's calendar, prioritizing tasks and optimizing time management.
- Coordinate with the CEO's direct reports, ensuring confidentiality and effective communication.
- Build and nurture relationships with internal and external stakeholders, the Board of Directors, and government officials.
- Prepare documents, letters, speeches, and reports for the CEO.
- Coordinate travel arrangements, create itineraries, and compile necessary documents.
- Assist in preparing materials for Board and Committee meetings.
- Attend meetings, take minutes, and follow up on action items.
- Manage expense submissions and approvals for the CEO and Board members.
- Facilitate smooth communication between the CEO's office and other departments.
- Perform additional duties as needed.
Qualifications:
- Prior experience supporting C-level executives and working with Boards of Directors.
- Post-Secondary Education (Diploma or Degree) is preferred.
- Strong written and verbal communication skills.
- Detail-oriented with the ability to thrive in a fast-paced environment.
- Sound judgment, confidentiality, and integrity are essential.
- Ability to build relationships with executives and government officials.
- Excellent time management skills and adaptability to changing priorities.
- Self-motivated, proactive, and able to work well under pressure.
- Advanced proficiency in Microsoft Office suite.
- Strong interpersonal skills and a diplomatic approach to relationship-building.
