The Student Wellness and Equitable Learning (SWEL) department leverages a collaborative, socio-ecological model for student development and care. The cross-functional team includes Student Connection and Community Care (Office of Student Community Standards, Care Coordinators), Residence Life and Education, Testing Services, and Student Wellbeing (Accessible Learning Services, Mental Health and Counselling Services, Wellness Education and Programs, and the Health Centre). The SWEL team offer pan-College services across all Humber College/University of Guelph-Humber campuses.

Position Title: SWEL Senior Support Services Officer

Hours: 24/wk this includes working between the hours of 830 a.m. to 6.30 p.m.

Faculty/Department: Student Wellness and Equitable Learning (SWEL)/Student Success and Engagement (SSE)

Campus/Location: North and Lakeshore Campus This role is fully on-site and will be required to work between campuses as scheduled.

Salary: PT Payband 8 (starting salary $ $31.72/hr)

What you will do:

Reporting to the Director, SWEL Operations and Development, the Senior Support Services Officer (SSSO) will provide comprehensive and confidential administrative and clerical services in support of the Associate Dean and SWEL Senior Leadership team. This includes supporting departmental activities in the areas of finance - creating requisitions, supporting purchasing activities, and tracking spending; human resources – supporting hiring activities and maintaining recruitment and selection materials; and communications - triaging inquiries to the centralized departmental inbox, drafting communications, and prioritizing requests of the Associate Dean and SWEL Senior Leadership team. As such, this position requires excellence in customer service to all students, internal and external stakeholders as well as partners in education.

The incumbent will be responsible for a wide variety of diverse projects simultaneously including, but not limited to, account reconciliation and fund allocation, promotional material and supply inventory and management, departmental space management and maintenance (e.g., training rooms, board rooms, and common spaces), project-oriented research and article collation, facilities work orders, LMS maintenance and updating, report generation, task and project management, and departmental connection and event preparations.

The SSSO is solely responsible for planning and implementing events for SWEL, including events for external partners, and acts as the departmental liaison for corporate events across the College. Events include, but are not limited to, SWEL Info Sessions, Open House Events, FYE/Orientation Events, etc. The incumbent will also have direct oversight of department-wide gatherings (e.g., regular SWEL Connect Days) and all related logistics. The incumbent is responsible for providing support to the SWEL Senior Leadership team (SWEL Curriculum and Training Specialist) in strengthening the College's strategic plan through maintaining a portfolio of events and professional development in partnership with external partners. The incumbent is required to develop and maintain cooperative working relationships with various service departments in the delivery of events. The incumbent is responsible for creating and maintaining an annual event budget and will work with the Director, Operations and Development to ensure that SWEL event budget is developed in conjunction with the College's budget development period. An organized, relationship builder with the ability to manage multiple projects and work productively under pressure with firm deadlines is required within the role.

What you bring to the role

Education:

The successful candidate will possess a 4-year degree in Business Administration, Health Care Administration, or a postsecondary degree in a related field or equivalent combination of education and experience.

Experience:

The incumbent will have a minimum three years of progressively responsible and practical work experience. Experience planning events is required. Experience working in a post-secondary setting is preferred.

  • The ability to build and maintain internal and external relationships

  • Deep understanding of privacy legislation (i.e., FIPPA, PHIPA) and its role in an interdisciplinary environment
  • Impeccable problem-solving skills and independent decision-making capacity
  • The incumbent must be able to respond to shifting priorities as they emerge and demonstrated ability to work with frequent interruptions
  • The role requires strong presentation skills and the ability to deliver information to diverse audiences
  • Intermediate level experience with Microsoft Office Suite (particularly Excel and Outlook)
  • The incumbent will frequently work with College IT systems such as Banner
  • Knowledge of creating and maintaining event (or other small-scale) annual budgets, as well as the ability to create summary reports for SWEL management (financial or otherwise)
