Drake International is seeking an experienced and proactive Leadership Team Coordinator to provide administrative support to the Senior Leadership Team. The successful candidate will play a critical role in facilitating the Senior Leadership Team's productivity, ensuring smooth operations, and contributing to the overall success of the organization.

Core Job Activities

Calendar Management

  • Efficiently manage the Senior Leadership Team 's calendar, including scheduling appointments, meetings, and travel arrangements, while prioritizing conflicting demands and ensuring timely reminders.

Communication Management:

  • Serve as the primary point of contact for internal and external communications directed to the CEO, screening and prioritizing correspondence as necessary.

Administrative Support

  • Provide comprehensive administrative support to the Senior Leadership Team, including drafting correspondence, preparing reports and presentations, and conducting research as required.
  • Creating impactful presentations, including formatting data, and integrating photos.

Meeting Coordination

  • Organize and coordinate executive meetings, including preparing agendas, compiling meeting materials, and taking accurate minutes to facilitate effective decision-making and follow-up.

Confidentiality

  • Maintain strict confidentiality and discretion in handling sensitive information, such as executive discussions, strategic plans, and personal matters.
  • Serve as a trusted confidante and sounding board for the CEO, providing valuable insights, feedback, and perspective.

Relationship Management

  • Cultivate and maintain positive relationships with internal and external stakeholders, representing the CEO professionally and ensuring a high level of customer service.
  • Maintain a pulse on the organization's culture, morale, and overall employee sentiment.

Project Support

  • Provide project support to the Senior Leadership Team as needed, including coordinating cross-functional initiatives, tracking action items, and monitoring project milestones.

Ad Hoc Support

  • Handle ad hoc tasks and special projects as assigned by the CEO, demonstrating flexibility and adaptability to meet evolving business needs.

Skill & Education Requirements

  • Bachelor's degree in business administration, management, or related field preferred.
  • Proven experience in an administrative or similar role.
  • Exceptional organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent written and verbal communication skills, with a high attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Strong interpersonal skills with the ability to interact professionally with individuals at all levels.
  • Discretion and confidentiality in handling sensitive information and matters.
  • Proactive attitude with a willingness to take initiative and anticipate needs.
  • Flexibility to adapt to changing priorities and work independently with minimal supervision.
  • Bilingual, (French & English), is an asset.
