General Description:

Assist in all aspects of property operations including tenant relations, operations and reporting.

Primary Responsibilities:

Operations

  • Ensure excellent tenant relations and strong customer service with contract administration and service providers
  • Maintain all operation files, digital and paper
  • Assist operation staff with documentation required (ie. notices to tenants.)
  • Maintain and update all information on Health and Safety, Fire Plans, and air quality issues
  • Log the receipt of meter readings from operations staff
  • Coordinate annual fire inspections and deficiency repair schedules with contractors and tenants.
  • Monitor & track all utility accounts
Tenant Services

  • Administer tenant service request system (MRI Angus), dispatching of site staff or contractors
  • Obtain quotations, coordinates leasehold and special improvement work with Property Manage
  • Record, update, and maintain insurance coverage for all tenants and contractors
  • Assist with answering all inquiries from tenants
Contracts and Tendering Duties

  • Coordinate standard contracts, including production of specs, tendering
  • Coordinate and supervise all contracts, including periodic reviews of all service contracts (ie: maintain uptodate contract log, assist with tendering, verify invoices match contract pricing and PO's)
Other Duties

  • Administrative support for Property Management team
  • Administer Tenant Appreciation Program, input with the creation of quarterly newsletter
  • Attend meetings ensuring minutes of meetings taken and provided to attendees
  • Assist with preparation of property budgeting and strategic capital planning
  • Other work items as are decided by Manager and CFO.
  • Produces, logs and maintains record of all PO's issued on timely basis
  • Posting of Tenant charges
  • Assist with tenant arrears; reconcile tenant accounts; ensure that delinquent accounts are minimized

  • Proven organizational and multitasking skills, combined with strong communication skills both written, and oral are keys to success
  • Selfmotivated, professional, and flexible with the ability to work both independently and collaboratively in a team environment
