The Medical Weight Management Program provides a multidisciplinary, evidence-based, long-term approach to assess and treat patients with obesity.

Our team works together to improve the health and quality of lives of patients whose physical and/or psychological health is significantly impaired by their weight and where long-term weight management will play a central role in the reduction of cardiometabolic risk, the maintenance of mobility and of psychosocial wellbeing.


The Medical Office Assistant (MOA) is an integral part of the team as they are responsible for organizing all tests ordered by our physicians, and organizing the clinics day to day activities including all incoming and outgoing faxes.


Duties and Responsibilities:

  • Arrange tests/investigations ordered by physicians such as imaging (ultrasounds, xrays, CT scans, MRI, etc.), stress tests, echocardiograms, bone density scans, sleep studies etc. and notifying physicians when results are in.
  • Maintaining patients medical records and updating them based on all incoming faxes.
  • Responsible for arranging and tracking referrals to other specialists.
  • Responsible for sending out completed special authority forms to Pharmacare.
  • Responsible for obtaining patient records such as consult notes, bloodwork results, imaging results, etc. for physicians.
  • Manage all outgoing faxes including consultations and prescriptions.
  • Responsible for handling patient phone calls and directing phone calls to supervisors, managers or other colleagues where appropriate.
  • Cross train with the team of MOAs and assist with scheduling, confirming appointments, billing, sending bloodwork, etc.
  • Provide administrative support to physicians, OMAs, dietitians, and other medical staff.
  • Ad Hoc tasks as assigned.

Skills/Qualifications:

  • MOA certification or relevant and corresponding experience.
  • At least 1 year of experience working in a busy medical office
  • Experiencing using an EMR.
  • Must have the ability to plan and organize a daily work agenda such that any assigned projects are completed within the allotted time.
  • Excellent attention to detail.
  • Ability to multitask and work under stressful circumstances with a positive and determined outlook.
  • Excellent interpersonal and social skills such that they are able to deal with patients and the medical staff in a compassionate, tactful, and friendly fashion
  • Must have excellent communication skills both verbal and written; superior telephone answering and greeting skills are necessary.
  • Selfstarter that takes initiative to be resourceful.
  • Able to work and think independently but also has to operate with supervision as required.
  • A thorough understanding of various computer programs including Microsoft Word, Excel, and Adobe.
  • Ability to type at least 40 wpm.
