Administrative / Customer Service Assistant

ABOUT YOU:

This role provides a broad variety of administrative assistance and customer service support to the Jostens Montreal team. Duties are broad and varied and in some cases may be of a complex or confidential nature.

YOU HAVE:

-
Passion. Resourcefulness and ability to identify opportunities for efficiency.

Technical skills. Working level proficiency with MS Office Suite (Outlook, Word, Excel, Access, PowerPoint) is required.

Attention to detail. Strong project management skills and ability to work with multiple priorities and deliver results in a timely fashion.

Great communication skills. Demonstrated focus and passion for delivering great customer experiences.

Outstanding team player mentality. Ability to maintain professional presence and attitude, and display flexibility and enthusiasm, contributing where needed to help ensure team and department objectives are met.

Organizational skills. Demonstrated ability to learn quickly and multi-task.

Experience. 3+ years' experience as an administrative assistant or similar. Customer Service experience.

Education. High school diploma or equivalent is required
-
Preferred. Relevant post-secondary education (e.g. AA or BA/BS in Business, or related field) in progress or completed. Working level proficiency with MS Project.

YOU WILL:

-
Monitor incoming calls, messages and mail, handling responses as independently as possible with a high degree of discretion.
-
Organize, prioritize and summarize data, materials and information. Prepare reports for review.
-
Create, maintain update and reconcile spreadsheets and various reports to support the location
-
Work individually and as part of a team to carry out assignments and direction.
-
Prepare various documents and presentations.
-
Manage routine processes and correspondence, reports and research as needed.
-
Order and maintain office supplies, forms and business cards for the department. Order catering for meetings as needed
-
Assist with budget preparation and monitoring
-
Perform various customer service duties, such as order entry, tracking and follow-up, assembling and shipping orders
-
Prepare orders for shipping and arrange shipment.

Conduct or support special projects as directed
