THE POSITION

Join our team as an Administrative Manager and become the essential link between our general management, internal departments and external partners. You'll be at the heart of complaint management, communications and the preparation of crucial documents, while participating in various administrative committees. THE RESPONSIBILITIES

  • Reporting to the Director General, this management position entails the following tasks and responsibilities:
  • Act as liaison between the School Board's Director General's office and various internal services and external organizations (i.e. MEQ, QESBA, ADGESBQ, ADGSQ, other school Boards, etc.)
  • Act as the person in charge of processing complaints and first respondent in the handling of difficult and emotional situations involving parents, students or other stakeholders who want to meet the Director General or the Secretary General. Gather information to brief the stakeholders. Maintain communication with the person responsible and follow-up as the dossier develops and comes to a close. Inform the Director General of the conclusion.
  • Gather data and/or assemble information, prepare reports and/or draft responses and submit to the Director General for review, approval and signature.
  • Research information to compose speeches and/or presentations for various activities or events.
  • Research, compose and translate a variety of documents and correspondence for the Director General ‐ revise, edit and proofread documents as required.
  • Manage communications, e-mails or telephone, for the General Directorate, verify requests and needs. Ensure prompt and appropriate response and/or follow-up with General Directorate or other senior staff. Inform the Director General of actions taken. Participate in various administrative committees, render account and prepare reports as needed.
  • Participate in various administrative committees, render debriefing and prepare required reports.
  • Maintain administrative archives, confidential and personal files for the Director General's office.
  • Provide other services and participate in special project as determined by the Director General.
  • Assume any other administrative related tasks as required by the Director General.

Schooling and experience

  • Diploma of college studies in a relevant field and four years of relevant experience OR
  • Secondary V diploma in a relevant field of study and eight years of relevant experience
  • Sound work ethics and commitment to excellence and attention to detail
  • Excellent skills in oral and written English & French
  • Ability to maintain confidentiality at all times and exercise discretion and good judgment.
  • Ability to work with a high level of autonomy and demonstrated flexibility
  • Proven time management skills and the ability to manage multiple tasks
  • Strong prioritization skills with the ability to adapt to change
  • Excellent computer knowledge, particularly with the Microsoft & Apple environments, ability to learn new applications efficiently and the ability to be proficient in Office 365
  • Team player with sound interpersonal skills along with the ability to develop effective working relationships with various stakeholders, (staff, peers, parents, external resources, etc.)
  • Solid analytical, problem-solving and conflict-resolution skills
