Parkland School Division (PSD) is a large progressive school jurisdiction serving Spruce Grove, Stony Plain, Fort Chipewyan and Parkland County. PSD meets the diverse educational needs of over 12,000 rural and urban students among 23 sites, including outreach schools and alternative education programs.

We are currently seeking candidates to apply for a Secretary II - Financial Services position at Centre for Education, in our Financial Services Department located in Stony Plain, Alberta.

As the successful candidate, you will be the first point of contact with the general public, families of our students, our schools, community stakeholders and other departments, both over the phone and in person, addressing general inquiries and redirecting as needed. Effective interpersonal skills are essential to deal with a variety of situations that may arise. A team player approach is essential as you will support the Financial Services Department with various administrative tasks. Friendly and flexible characteristics are a must.

Primary Responsibilities:

●Reception Duties

answer phones and general inquiries greet visitors open and distribute incoming mail prepare outgoing mail book meeting rooms order office supplies assist with distribution of packages to all departments

●Administrative support for Financial Services Department:

assists with bank reconciliation preparation enters revenues into receipting system enters accounts receivable invoice payments from receipting system into the financial reporting system Assists in data entry in the Financial Reporting System

●School fees:

processing payments assist with student registrations answering inquiries from schools and customers preparing and validating collection data preparing and mailing outstanding fee notification letters correspond with the collection agency and record payments in the fee management system

●Division-wide purchase card statements and system maintenance:

collection and verification of monthly statements ○hecking for authorization/signatures on all purchasecardholder statements matching receipts following up with sites/departments ensuring time schedules are met for submission and any issues identified are corrected filing of statements when completed adding new cardholder accounts maintaining, removing or suspending cardholder accounts adjusting credit limits assist sites/departments as required

●Provide administrative assistance to other departments:

tracking information booking travel recording receipts journal entries running reports

●Carrying out projects, assignments or activities required by the Director, Financial Services or Supervisor, Financial Services

●Acting as a backup for accounts payable and purchasing coordinator

●Assisting in the digitization of Division records

●Organization and moving of file boxes and arranging for the destruction of files that have surpassed their retention date

●Track and submit work orders to the Facilities Department

●Emergency backup for Transportation

●Other duties as assigned

Qualifications:

●High School Diploma/or equivalency

●Experience and/or completion of Office Administration/Accounting courses

●Strong working knowledge of Microsoft Office Suite including Word and Excel is required

●Experience with Rycor Fee Management System, PowerSchool Student Information System, Atrieve Enterprise Resources Planning System

This position is covered by the Canadian Union of Public Employees (CUPE)

Hours of Work: 37.5 hours/week (Monday to Friday), 12-month position

Pay Rate: $ $25.64 (Pay Group 4)
