Job Summary
The Lab Coordinator provides research and administrative support to the Principal Investigator, Dr.

Sari van Anders, Canada 150 Research Chair in Social Neuroendocrinology, Sexuality, and Gender/Sex, and Professor in the Department of Psychology.

The Lab Coordinator organizes and completes lab tasks in support of the van Anders Lab, ensuring a clean and safe physical and online lab environment for other lab members.

Responsibilities primarily include working with submissions and record-keeping for financial and ethics-related materials; organizing, directing, and engaging in communication around lab tasks, events, and participants; aiding in participant recruitment, scheduling, testing, and management; assisting with lab equipment maintenance; duties related to data management (e.g., collection, entry, cleaning, coding); ordering inventory and supplies; conducting literature reviews; management and co-supervision of lab members; and completing other general administrative and clerical tasks for lab projects.

Job Description

KEY RESPONSIBILITIES:

  • Maintain, manage and organize data files and log books for participant information and research projects.
  • Handle day-to-day management of lab finances (financial records, maintaining grants, book keeping, expenses etc.).
  • Contribute to lab research efforts, including assisting in recruitment and testing of study participants; scheduling participant study visits; and ensuring completion of adequate screening and consent procedures.
  • Work with the Mass Spectrometry Lab Technologist to assist with their learning about the lab and department, and providing support for clerical and organizational tasks.
  • Follow, update, organize, and assist with the development of lab protocols.
  • Assist lab members with data acquisition, coding, and other research tasks as appropriate to skill level.
  • Respond professionally and in a timely manner to lab inquiries and communications, including with study participants, students, and the general public.
  • Perform administrative and clerical duties, including routine correspondence and communication, managing mail, monitoring and ordering inventory, supplies, catering or food arrangements, scheduling lab appointments for members, scheduling meetings for the PI, organizing lab meetings and taking minutes, and maintain billing and payment records for lab expenses.
  • Assist with onboarding and offboarding processes and procedures for lab members, including providing training information, and including for a subsequent lab coordinator.
  • Complete literature reviews using electronic databases. This will involve searching through journals and books for studies and reports on specific topics, and assisting in writing research summaries.
  • Assist in maintaining online reference software management systems and provides input in the development of related protocols.
  • Support the PI in the preparation of ethics protocol applications, renewals, and amendments; grant applications, and other related documents.
  • Communicate progress on lab and research tasks to the PI and/or relevant lab member.
  • Resolve minor and routine issues with lab space and infrastructure, and perform routine lab maintenance tasks to ensure the lab runs smoothly and safely in accordance with Occupational Health and Safety guidelines (i.e., stocking emergency stations, handwashing stations, and organizing biosafety and consumables storage). Refer complex or unusual lab issues to the PI or appropriate departmental contact.
  • Foster an inclusive, supportive and welcoming work environment for individuals with diverse backgrounds and identities, with a commitment to the university's equity, diversity, accessibility, and inclusion initiatives where the feminist queer science values of the lab are demonstrated; identify areas of opportunity and actively works to support EDI efforts.
  • Interviewing potential lab members and reporting recommendations to PI.
  • Proofread and/or edit lab members' materials in accordance with existing guides and best practices.
  • Assist with other lab and project tasks as assigned in support of the lab.

REQUIRED QUALIFICATIONS:

  • University degree or College diploma in a related field.
  • A master's degree in a related field is considered an asset.
  • Demonstrated understanding of equity, diversity, inclusion and/or feminist and queer approaches to workspaces and/or academia and/or research.
  • Previous experience working to support academic and/or research endeavours.
  • Consideration may be given to an equivalent combination of education and experience.

SPECIAL SKILLS:

  • Computer skills, with high degree of proficiency in Microsoft Office Suite (ie. Word, Excel, Powerpoint) and scheduling software, with the ability to learn new software applications and adapt to new technology.
  • Strong time management, organization, and problem-solving skills to resolve minor and routine issues with lab space and equipment, and manage day-to-day lab activities.
  • Excellent interpersonal and communication skills (verbal and written) with the ability to interact professionally with diverse range of individuals including students, faculty, scholars, participants, staff, and others from a wide variety of social locations (i.e., positions in power hierarchies related to minoritization and majoritization) and to maintain confidentiality and privacy of information.
  • Ability to work independently and in a collaborative team environment.
  • Ability to manage multiple priorities in a fast paced, deadline-driven environment.
  • Experience with Qualtrics and/or other survey software, or demonstrated ability to learn.
  • High degree of accuracy and attention to detail.
  • Adaptability to changing circumstances, with a positive attitude and ability to stay calm in stressful situations.
  • Understanding of equity, diversity, and inclusion issues, especially related to gender/sex and sexual diversity.

DECISION MAKING:

  • Determine work priorities while considering conflicts and deadlines.
  • Decide how to deal with experimental error and problems such as protocol violations or equipment breakdown, to minimize impact on research outcomes.
  • Allocate and organize laboratory space and resources to optimize data collection and lab functioning.
  • Decide when and from whom to order supplies and equipment.
  • Make suggestions regarding procedures and protocols, and help implement those if needed.
  • Report about positive work and/or challenges in the lab to the Principal Investigator to optimize work processes.
  • Determine when it is necessary to seek advice or direction from the Principal Investigator.
