Job Summary

Reporting to the Associate Director, Administration, Innovation and Operations (AIO), with direction from the Vice-Dean Faculty of Health Sciences and Director, School of Nursing, the Human Resources (HR) Officer is a skilled human resources generalist responsible for the management, planning and coordination of human resources operations at the School of Nursing (SON), as well as contributing to the strategic direction of HR initiatives for the SON.

The HR Officer is accountable for carrying out human resources related duties in support of management and faculty at the School, in accordance with University policy and legislative requirements.

The HR Officer supports SON staff and faculty activities within the organization and works closely with the Vice-Dean & Director, Associate Directors, managers and faculty, in addition to Queen's University central HR and the Faculty of Health Sciences (FHS) and the Faculty Relations Office.


Job Description:

KEY RESPONSIBILITIES:

Staffing and Human Resources

  • On behalf of the Vice-Dean & Director, acts as the primary HR contact within the SON providing support for human resources and academic staffing processes for faculty and staff, including recruitment, and orientation.
  • Works closely with the Vice-Dean & Director and Associate Director (AIO), advising on and participating in the development and implementation of strategic human resources planning, in pursuit of the SON operational and faculty goals.
  • As the lead for academic staffing processes within the School of Nursing, works closely with the FHS Staffing Office and Faculty Relations, to ensure timely and accurate administration of academicspecific processes and entitlements, such as recruitment, renewals, tenure eligibility, promotion, academic and negotiated leaves, leaves of absence, retirements, reduced periods of responsibility, immigration, compensation, benefits and seniority.
  • Work closely with the Vice-Dean & Director as the primary contact for the Faculty Relations Office for labour relations issues. Provide guidance as an internal point of contact for managers related to staff employee and labour relations; escalates and collaborates with central Human Resources as required.
  • Acts as a resource person to the Vice-Dean & Director on all issues related to academic staffing. Interprets collective agreements and provides guidance on administration, in collaboration with the Faculty Relations Office.
  • Identifies and rectifies or escalates any issues of compliance with collective agreement terms related to staffing processes.
  • Works closely with Director, Clinical Course Coordinators and Associate Directors on staffing plans for clinical and lab assignments, teaching assistants and fellowships.
  • Works closely with the Research Manager and faculty on the recruitment and contract administration for Graduate Research Assistants, Work Study/SWEP students and other research support roles.
  • Drafts, prepares, collects approval from Vice-Dean & Director and coordinates the distribution of all contracts for nonTenure/Tenure-Track Faculty and nonGeneral Staff employee groups, including but not limited to: Term Adjuncts, Academic Assistants, Teaching Assistants and Fellows, Research Assistants and other casual employees. Accurately administers complex clinical instructor compensation.
  • Coordinates all administrative documentation for general staff, and works with Central Human Resources to finalize. Acts as primary timekeeper for the School of Nursing, and prepares and coordinates payrollrelated documentation for adjustments, offcycle cheques and additional payments.
  • Provides highlevel administrative support and guidance to the Appointments and Renewal, Tenure and Promotion (RTP) Committees (internal or external). Coordinates all stages of RTP process on the unitlevel and leads communications with all stakeholders on behalf of the Vice-Dean & Director. Liaises with Faculty Staffing Office to ensure timely and accurate administration of outcomes.
  • Supervises the administration of the Adjunct Group 1 appointment and renewal process with the Appointments Committee. Delegates administrative support duties to Administrative Assistant as required.
  • Ensures recruitment files are up to date, interview questions and techniques utilize current format/comply with University standards, completes reference check process, and provides all relevant hire information to Central HR to facilitate the offer process.
