Pacific Coast Stage Co. is hiring a
Festival Producer for their 13th annual Nanaimo Fringe Festival. The Festival runs August 10-20th, 2023 across various indoor/outdoor venues in downtown Nanaimo.

The
Festival Producer will receive arts event mentorship under Pacific Coast Stage Co.'s Artistic Managing Producer and Associate Artistic Producer.

They will complete a variety of tasks in collaboration with the Festival Volunteer and Marketing Coordinators, and be supported by a team of dedicated festival volunteers.


  • Services will include, but are not limited to:_

Reporting to the AAP, the Festival Producer will:

  • Manage and run the Nanaimo Fringe Festival
  • within festival policy, guidelines, rules and regulations
  • Manage the Nanaimo Fringe Festival budget, under the guidance of the Artistic Managing Producer (AMP)
  • Project and record all festival expenditures, including petty cash
  • Work with the AMP and bookkeeper to ensure payments to venues, suppliers, contractors etc. happen on time and as budgeted
  • Create with the AMP/AAP and distribute the festival performance schedule
  • Communicate with venue representatives, program guide designer and printers
  • Organize and run the Nanaimo Fringe presence at the Nanaimo Night Market
  • Organize and oversee the planning and logistics of all livestreaming and ASL interpreted performances
  • Communicate with livestreaming technician(s) and ASL company and interpreters
  • Support the Associate Artistic Producer (AAP) with Artist Liaisoning, when necessary
  • Assist with the interviewing and hiring of the Volunteer Coordinator
  • Train Volunteer Coordinator (VC) on Fringe policies and tasks
  • Upon their hiring, pass on to VC all volunteer contact information and availability gathered to date
  • Assist VC with prepping Box Office packages for the front of house volunteers
  • Organize Box Office supplies with VC and give a refresher for VC on POS system
  • Pick up Box office packages once each performance has begun and replace with a new float
  • Run the Box Office as necessary
  • Assist with patron needs
  • Be the contact between the Venues and Fringe during the Festival
  • Reconcile all ticket sales/money at the end of each day with the AMP or AAP
  • Work with the AAP/Board to plan Festival Preview/ Launch Party
  • Liaise with the Elder hired to to Open the Festival, to ensure all their access needs are met
  • Oversee and run the Festival Preview/ Launch Party
  • Prepare and Distribute Festival Artists' welcome packages (ask AAP for guidance)
  • Ensure billets and visiting Festival Artists are connected and report any concerns to the AAP
  • Assist with voting and tally for Pick of the Fringe
  • Create/ purchase the Pick of the Fringe winner award and give award at closing party
  • Work with AMP/Board to plan Award Night/ Closing Party
  • Oversee and run the Award Night/ Closing Party
  • Organize, oversee and run all Festival set up activities (equipment rentals; pick ups; artist meets etc)
  • Be present and assist on Set up days/Tech times to ensure all is running as expected
  • Check in with Techs throughout the festival; assist them when issues come up
  • Be present, on hand, and on call at all times for the duration of the Fringe Festival, August 921, 202
  • Be available for festival artists' needs during the festival
  • Organize, oversee and run all Festival Strike activities (returning of equipment, clean up etc)
  • Assist with Festival ancillary events, (these could include Forum Theatre, Fireside Chats, Karaoke night etc)
  • Provide additional social media content to marketing as requested
  • When unsure of a policy or procedure, contact either the AMP or the AAP 100% of the time
  • Attend PCSC Board meetings during your contract
  • Write a final summary report and submit to the AMP before your final day on contract
  • Be highly organized, flexible, patient, a problem solver, punctual and meet all deadlines
  • Be open to suggestions and feedback from PCSC Producing Staff
  • Have a class 5 driver's license and vehicle available for use throughout the Festival dates in Nanaimo, August 921, 202
  • Work within and remain under budget
  • Retain all approved receipts for reimbursement
  • Perform all other reasonable requests from PCSC Producing Staff
