Pacific Coast Stage Co. is hiring a
Festival Producer for their 14th annual Nanaimo Fringe Festival. The Festival runs August 8-18, 2024 across various indoor/outdoor venues in downtown Nanaimo.

The
Festival Producer will receive arts event mentorship under Pacific Coast Stage Co.'s Artistic Producer.

They will complete a variety of tasks in collaboration with the Festival Volunteer and Marketing Coordinators, and be supported by a team of dedicated festival volunteers.


  • Services will include, but are not limited to: _
Reporting to the Artistic Producer (AP), the Festival Producer will:

  • Manage and run the Nanaimo Fringe Festival
  • within festival policy, guidelines, rules and regulations
  • Manage the Nanaimo Fringe Festival budget, under the guidance of the Artistic Producer (AP)
  • Project and record all festival expenditures, including petty cash
  • Work with the AP and bookkeeper to ensure payments to venues, suppliers, contractors etc. happen on time and as budgeted
  • Create with the AP and distribute the festival performance schedule
  • Communicate with venue representatives, program guide designer and printers
  • Oversee and assist the Marketing Coordinator with Festival Guide distribution, across the city
  • Pick up, prepare and organize venue bins for distribution, with the Hospitality Coordinator
  • Distribute, monitor, pick up and return all venue bins
  • Organize & run the Nanaimo Fringe presence at the Nanaimo Night Market, Thursdays, 3:309:30 pm (this requires unloading, setting and packing up, loading, and storage of Festival merch in totes)
  • Prepare/ Design, order, pickup and distribute all materials requiring printing (ie: passes, signage)
  • Arrange the installation of the Festival highway signage and its return at the end of the Festival
  • Organize and oversee the planning and logistics of all ASL interpreted performances
  • Communicate with ASL company and interpreters
  • Support the Artistic Producer (AP) with Artist Liaisoning, when necessary
  • Assist with the interviewing and hiring of the Volunteer Coordinator and Marketing Coordinator
  • Train Volunteer Coordinator (VC) on Fringe policies and tasks
  • Upon their hiring, pass on to VC all volunteer contact information and availability gathered to date
  • Assist VC with prepping Box Office packages for the front of house volunteers
  • Organize Box Office supplies with VC and give a refresher for VC on POS system
  • Pick up Box office packages once each performance has begun and replace with a new float
  • Run the Box Office as necessary
  • Assist with patron needs
  • Be the contact between the Venues and Fringe during the Festival
  • Reconcile all ticket sales/money at the end of each day with the AP
  • Work with the AP/Board to plan Festival Preview/ Launch Party
  • Liaise with the Indigenous Elder hired to open the Festival, to ensure all their access needs are met
  • Oversee and run the Festival Preview/ Launch Party
  • Prepare and Distribute Festival Artists' welcome packages (ask AP for guidance)
  • Ensure billets and visiting Festival Artists are connected and report any concerns to the AP
  • Set up the Pick of the Fringe ballots at all venues before the Festival opens and collect upon closing
  • Assist with voting and tallying for Pick of the Fringe, counting ballots during the Festival run
  • Create/ purchase the Pick of the Fringe winner award and give award at closing party
  • Work with AP/Board to plan Award Night/ Closing Party
  • Oversee and run the Award Night/ Closing Party
  • Work with MC to prepare & distribute thank you cards upon Festival closing for stakeholders, billets etc
  • Organize, oversee and run all Festival set up activities (equipment rentals; pick ups; artist meets etc)
  • Be present and assist on Set up days/Tech times to ensure all is running as expected
  • Check in with Venue Techs throughout the festival; assist them when issues come up
  • Facilitate sponsorship opportunities and delegate this task to Marketing Coordinator upon their hiring
  • Be present, on hand, and on call at all times for the duration of the Fringe Festival, August 818, 202
  • Oversee a venue during the dates of the Festival;
  • Be available for festival artists' needs during the festival
  • Organize, oversee and run all Festival Strike activities (returning of equipment, clean up etc)
  • Assist with Festival ancillary events (could include Forum Theatre, Fireside Chats, Karaoke night etc)
  • Provide additional social media content to marketing as requested
  • Attend weekly staff meetings
  • When unsure of a policy or procedure, contact the AP 100% of the time
