We are currently seeking an Office Manager who will provide general administrative support, client job entry and file management, oversee payroll, bookkeeping, and supervise 1 office assistant.

Please note that there is limited public transportation to this location, so vehicle is required.

Job Description:

Responsibilities include but not limited to:

  • Job File Management: Strong customer service. Ensure client jobs are entered into system along with all other pertinent documentation. Assist with meeting job file KPIs. Scheduling of work assignments per direction of project managers.
  • Oversee payroll by entering time, employee mileage and overtime, monitoring and tracking of leave.
  • HR Management: Assist with posting, recruitment, and termination processes. Assisting with meeting Health &Safety measures. Tracking, monitoring, and maintaining training certification (WHIMS, first aid, fit testing, etc.)
  • Marketing Support: Update website and social media sites.
  • Technology: Coordinate computer and software knowledge. Integrate software systems within business procedures and practices.
  • Inventory Management: Order supplies and maintain proper inventory, barcoding and tracking of equipment.

Necessary Skills/Qualifications:

  • Post secondary business / administration / management courses / certification preferred
  • Min 5 years office experience advanced computer experience with Microsoft Office programs such as Excel, and Word. Proficient in QuickBooks
  • Construction / Restoration / Insurance / Project Management experience preferred
  • Effective leadership skills, with a strong focus on mentoring and motivation of employees
  • Requires a selfdirected, professional, tactful, diplomatic demeanor
  • Experience with Xactimate and Xactanalysis preferred
  • Manage sensitive information appropriately and maintain confidentiality
  • Experience using office equipment (telephone, scanners, printers, etc.)
  • Strong aptitude to work within deadlines, and ability to multitask on a daily basis in a fast
paced environment

  • Comprehensive understanding of customer service, principles and practices
  • Strong written and verbal communication skills
  • Willing to work evenings, on call and weekends when requested
  • Periodic travel may be required
  • Criminal Record Check
