The successful applicant will work in compliance with all relevant and applicable legislation and Hospital Policies and Procedures, will practice the Bluewater Health Standards of Performance Excellence and will fulfill their role within the Attendance Support Program parameters.

The successful applicant will also possess effective communication and interpersonal skills, will have the ability to work independently and as part of a team, and will have strong attention to detail and accuracy.

Qualifications:

  • College Diploma in Office Administration or Medical Office Administration required
  • Experience working within an Occupational Health & Safety department preferred

Principal Duties:

  • Provides administrative support to the Occupational Health and Safety Department
  • Acts as reception to Occupational Health & Safety, greeting and directing traffic as required
  • Answers phone inquiries and general requests for Occupational Health & Safety information
  • Schedule appointments for staff, volunteers and new employees regarding occupational health matters
  • Enters Employee Incident Reports into computer system on a daily basis
  • Assists with maintaining and updating health records of hospital employees
  • Accurate data entry; compile and distribute reports as requested; assist in preparing presentations and resources
  • Assist in preparation of agendas; create and distribute meeting packages; send out meeting notices; record meeting/committee minutes
  • Organizes meetings and appointments, including booking rooms and arranging for room set up and equipment
  • Support the activities of the Health and Safety Committee as required
  • Maintain policy and procedure manuals
  • Assists with reporting to external agencies
  • Assists with staff scheduling and locking pay periods
  • Completes payment requisitions
  • Opens and routes daily incoming mail; orders department supplies; troubleshoots photocopier/fax as required
  • Other related duties as assigned
