TERMS AND CONDITIONS:

POSITION PURPOSE SUMMARY:

This position is a full time, 1-year contract position offering 40 hour per week. Work schedule is typically 9:00am-5:00pm, Monday to Friday with a 1⁄2 hour paid meal break.

KEY ACCOUNTABILITIES:

  • Develop, revise, and implement organizational policies, forms, and work instructions in accordance with MCCSS standards, the mission and values of The Salvation Army, and all relevant legislation.
  • Consult with the Executive Assistant, Program Directors, the Executive Director, and other staff, as appropriate, to ensure policies and forms meet organizational needs.
  • Participate in the document approval process for new ministry unit level policies and procedures.
  • Serve as the agency's IPAC Hub representative ensuring that infection, prevention, and control directives are implemented across Lawson Ministries programs.
  • Actively participate as a member of the Joint Health and Safety Committee ensuring that safety concerns brought forward are considered and addressed as needed in operational policies and procedures.
  • Build and maintain congruency between Lawson Ministries operational procedures ensuring alignment with all of The Salvation Army's operational policies and procedures.
  • Chair and facilitate regular operational policy reporting and working group meetings.
  • Prepare qualitative and quantitative operational reports and develop quality assurance standards and measurements as requested.
  • Ensure accurate statistical data is collected and provide statistics on program services to the Senior Management team as required.
  • Coordinate the writing of funding proposals, prepare and submit reports, as well as program evaluations and/or business plans as necessary.
  • Track grant expenditures for both current and upcoming grant funding installments.
  • Conduct literature scans and needs assessments as required.
  • Track serious occurrences and other highlevel program reporting metrics as needed and provide regular updates to the Management Team.
  • Assist in agencywide communication initiatives with the Senior Management Team as required.
  • Assist in developing promotional material (i.e. flyers, brochures, banners, etc.) as requested.
  • Support volunteer and student placements/internships as required.
  • Participate in adopting and rolling out new technologies and innovations to the broader staff team in coordination with the Management Team.
  • Perform additional duties as assigned.

ORGANIZATIONAL RESPONSIBILITIES:

  • Develop an understanding of the Mission of The Salvation Army in Canada and its implications as related to position responsibilities.
  • Maintain strong knowledge of and adherence to The Salvation Army and Lawson Ministries policies and procedures.
  • Represent the organization in a professional manner, acting in the best interest of the employer at all times.
  • Ensure that staff are aware of emergency procedures and are prepared to implement them as necessary.
  • Participate in professional development and training.
  • Treat the property of The Salvation Army with due care and caution.

HEALTH AND SAFETY:

  • Promote and adhere to The Salvation Army's Health and Safety Program including all policies and procedures
  • Ensure compliance with the Occupational Health and Safety Act.
  • Liaise with members of the JHSC/Management Team regarding health and safety issues.
  • Ensure staff and/or participant information sessions/meetings occur as needed and are documented (i.e., training/workshops, staff meetings, Ministry of Labour visits).
  • Ensure the work environment is safe, clean, and attractive for employees, residents/participants, students, volunteers, and visitors.

CRITICAL RELATIONSHIP MANAGEMENT:

  • Regular interaction with Program Supervisors, other team members, and clients

External:

  • Community partners and funders

MANAGERIAL RESPONSIBILITY:

  • Reports directly to Executive Director

FINANCIAL AND MATERIALS MANAGEMENT:

  • Monitoring secured grant budgets
