About the Role:


As a CRM & Data Coordinator, you'll be responsible for updating firm directories, accolades, recent deals and representative work, and help maintaining the integrity of our CRM database.

This role requires strong analytical and technical skills and attention to detail when managing significant amounts of data to ensure the highest quality and efficiency in updates.


Principal Duties & Responsibilities:

Website (Sitecore) and Tracker Updates

Populate all office bios (new hires and ongoing maintenance) for all lawyers, associates and business services, with correct job title, year of call, education, links and description;
Update all firm accolades (directories, awards, rankings and nominations) to lawyers and expertise web pages;
Publish SE news post and representative work, tag on related lawyers' bios and archive in tracker;
Review all EIFs (Employee Information Forms) and archive website bios, pages and sub pages when departures, remove links from Knowledge Hub, News posts and unpublish fields and back links;
Share best practices and assist with updating processes, trackers and documents.

Client Relationship Management (CRM) / InterAction:
Assist the CRM Specialist with the ongoing maintenance of contacts, including new hires and departures, titles updates for SE personnel, and confirm new entries to the database;
Maintain the data integrity of the database through
A daily review of changes initiated by firm members,
Various data quality checks and processes,
Monitoring various external news sources to ensure that Contacts in the Database are kept up to date;
Enhance the quality of the database by Adding Industry codes to Contacts, corporate counsel, as well as assisting with searches for Business Development purposes;
Monitor and perform other CRM / Data duties as assigned with the nature and level of the position.

Intranet updates (STELLA):

Assist Marketing & Communications team in the publication of deals, News posts, firm initiatives, promotion of ESG and DEI initiatives, content, accolades, and award recognitions
Provide user level access, if required, to specific STELLA pages for modifying/updating

Knowledge and Experience:

Bachelor's degree in information technology, marketing, business administration, or equivalent.
Project management or business analyst experience is an asset.

Skills & Abilities:

Strong research and analytical skills.
Ability to capture and manage significant amounts of data.
Detail-oriented with a proactive and results-driven approach.
Ability to work autonomously, as well as in a team environment.
Ability to manage competing priorities and adapt to changing environments.
Client service-oriented with exceptional interpersonal and organizational skills.
Proficiency in French is an asset.
