We are looking for a Office Admin to focus on our Joist Product.

Joist, an EverCommerce solution group, is an estimating, invoicing and payment software platform for small & medium-sized trade contractors and we have major growth planned.

Responsibilities:


You bring a broad mix of experience in project management, office management, and coordination - you're an expert at making sure that every little detail is covered, and timelines are consistently met.

You love having a job that is not the "same old thing" every day, but also has consistent tasks and projects that need to be completely regularly.

You have poise and presence and keep calm even when stressed. You enjoy working with a variety of personalities and have figured out how to adapt to different communication styles.

In this role, you'll have responsibilities in the following areas:
Office & Facilities Management % of the job

  • Oversee day to day activities in the office as the main point of contact
  • Purchasing office supplies and equipment and maintaining proper stock levels
  • Coordinating appointments and meetings and managing staff calendars and schedules
  • Arrange and coordinate events, including all scheduling and setup needs
Operations Coordinator % of the job

  • Handle requests, feedback, and queries quickly and professionally
  • With EOM oversight, arrange and coordinate meetings for Executive(s). Coordinate meeting logistics (e.g. contact meeting participants and coordinate responses, compose meeting materials and followup correspondence with input and review by executive, coordinate with external and internal parties)
  • Coordinating domestic and international travel, including flight, hotel, and car rental reservations
  • Manage documents/filing for executives; maintain shared document repository
  • Complete additional administrative tasks as needed

Where:
The EverCommerce team is distributed globally, with teams in the U.S., Canada, the U.K., Jordan, New Zealand, and Australia. With a widely distributed team, we are used to working remotely across different time zones.

This role is based out of our Joist Office in Toronto, Canada and will require you to be in office.


This is a part-time position of maximum 15-20 hours per week with the ability to visit office whenever required and negotiate preferred daytime working hours.
