Overview:


The AP & Maintenance Administrator is primarily responsible for supporting the maintenance team with administrative and purchasing duties for ongoing Equipment related activities for the Saskatoon Area.


This is a full-time hourly seasonal position (anticipated end date in November) with a potential opportunity for year round employment.


Responsibilities:

Core responsibilities include, but are not limited to:

Accounts Payable

  • Create purchase orders and requisitions
  • Verify accuracy of vendor accounts and review/correct any discrepancies
  • Ensure timely processing of all vendor invoices
  • Organize and maintain all documentation, both paper and electronic, related to vendors
  • Order office supplies or parts in Ariba Online
  • Respond to vendor requests and reconcile key vendor accounts
  • Request quotes as needed
  • Accurately enter data in a timely manner

Equipment Administration

  • Generate and maintain maintenance work orders
  • Complete equipment setups, disposals and transfers
  • Fuel card management including balancing monthly fuel on site
  • License renewal & permit tracking
  • Support local management on P2P and EM processes including repair cost tracking for both fixed parts and labour.
  • Work with the other EM coordinators to work toward consistent processes within the region
  • Support the service center in other areas as required

Health and Safety

  • Demonstrates a commitment to communicating, improving and adhering to safety policies in all work environment areas. Promotes a positive safety culture through leadership by example.
  • Ensures safe and healthy working conditions in sites under his/her responsibility.
  • Ensure strict compliance with all health and safety rules and country regulations

Relationship with Others

  • Reports directly to Maintenance Manager
  • Collaborate with other AP/EM coordinators, Maintenance staff and Operations personnel

Qualifications:

Education

  • Grade 12 education or equivalent.

Experience and Skill Set

  • 2+ years experience with administrative and/or maintenance background
  • Experience in Microsoft Excel
  • SAP skills are an asset
  • Knowledge of equipment maintenance procedures is an asset
  • Experience in construction industry is an asset
