The Volunteer Mobilization Advisor (VMA) is responsible for the mobilization and support of highly-skilled and committed volunteers who will contribute to the successful implementation of Cuso International programs and projects.
The VMA works closely with the International Programs Team, Country Program Offices (CPOs) and Marketing and Communications Team to effectively recruit, select, assess, train, send, manage and reintegrate Cuso International volunteers.
KEY RESPONSIBILITIES
Placement Development, Volunteer Delivery and Volunteer Management
- Work closely with the Manager of V4D, HoPs, and CPOs staff to ensure a strong understanding of annual volunteer delivery targets, country program needs, volunteer skills sets required and volunteer management baselines
- Support the development and review of placement documentation and volunteer briefing material
- Work closely with the VMA team to identify and prioritize placements for all available applicants and work closely with the V4D Team to ensure an efficient and highquality volunteer journey for volunteers
- Manage volunteers through the predeparture process, proactively logging and addressing any concerns that might arise and bringing forward any continuous assessment issues for discussion with the Manager of V4D
- Maintain accurate financial coding for volunteers and process eligible expense claims for volunteers;
- Report on recruitment progress to various stakeholders to ensure optimal placement fill rates and contribute to required monitoring and evaluation activities
- Update and maintain volunteerrelated data in the volunteer database
- Contribute to the development, revision and implementation of volunteering operational policies, procedures and systems
- Liaise with the Training and Development Advisor to ensure that the volunteers' predeparture training and learning needs have been met and facilitate predeparture training session for volunteers
- Maintain communication with volunteers inplacement and involve V4D management as required
- Conduct welcome home calls/debriefings with returned volunteers to ensure that project and placement specific feedback is collected, followed up and used for country program/project and volunteer management improvements
- Work with the Resource Development Team to ensure volunteer fundraising and outreach activities and goals are achieved and support the work of the Communications team to profile the work of volunteers and partners
- Work with V4D management to develop and implement "customized" volunteer journeys as needed for special projects and coordinate with relevant stakeholders
- Coordinate with CPOs and Recruitment to maintain alignment between volunteer supply and demand within the country/project placement portfolio
- Contribute to the improved quality and marketability of placement documentation
- Work with the Manager of V4D and with the Recruitment Coordinator to identify and support recruitment activities
- Stay abreast of political and socioeconomic development as well as programming priorities in assigned areas;
- Act as a resource in program development and project funding proposal development as required on the basis of regional/country responsibilities
- Contribute to narrative and other funder reporting requirements
- Provide cover to other staff as needed and undertake specific additional responsibilities from timetotime, as may be agreed upon with their Line Manager
- Maintain communication with inplacement volunteers as appropriate and liaise with management and Canadian partners as needed to support ongoing volunteer management
- Provide guidance within Cuso International on awareness and sensitivity to Indigenous communities in Canada
- Maintain relationships with current Canadian program partners to ensure that partnership and program objectives align with Cuso International's strategic outlook and programmatic approach
